Summary - Reporting to the Practice Supervisor or designee. Provide superior clinical and administrative support to patients and clinicians at a Yale Medicine multi-specialty office located in Stamford.
Essential Duties
- Provide clinical and administrative support in an outpatient clinic setting. This includes but is not limited to: greeting patients, checking demographic and insurance data, collecting cash payments, answering the telephone, routing calls as appropriate, and ensuring billing encounter forms are completed.
- Schedule sub-specialty consultations, follow-up treatment, surgeries, diagnostic tests, procedures, labs, and specialty referrals.
- Maintain fully scheduled clinic sessions utilizing Epic wait list. Initiate communication with physicians, patients, department staff and external resources to resolve scheduling conflicts.
- Provide professional, prompt and accurate information to patients and their families, community physicians and other clinicians via phone, mail, email, and fax.
- Provide insurance coverage and participation information to patients, physicians, community providers, ancillary testing facilities and other providers.
- Monitor electronic and paper patient records to maintain and enforce privacy at all times. Verify correct patient chart is being used for each patient. Inform physician of pertinent changes in condition and treatment.
- Perform clerical functions related to medical activities, including but not limited to: mailing information to patients, opening and distributing mail, making appointment reminder calls, perform other duties as assigned or as appropriate.
- Work independently with a sense of urgency, balance multiple priorities. Ability to listen, ask questions, and gain clarification; ability to recognize and triage patient emergencies. Ability to resolve problems collaboratively and independently. Provide coverage for other staff as needed.
- Clearly and frequently communicate emergencies, delays and cancellations to patients, physicians and staff while maintaining confidentiality. Move patients efficiently through clinic processes with sensitivity to their diagnosis and dignity.
- Ensure all patient records and test results are available for the physician prior to the patient examination.
- Provide care to patients as directed by nursing and physician staff.
- Greet patients in waiting room and escort to the clinical examination area in a timely fashion. Monitor patient wait times and acknowledge delays by informing them of anticipated time until their visit.
- Perform other duties as assigned or as appropriate.
Additional Education and Experience
Preferred: Minimum of 2 years’ experience in an outpatient clinical care environment recognizing multiple priorities and triaging appropriately.
Education and Experience
Four years of related work experience, two of them in the same job family at the next lower level, and a high school education; or two years of related work experience and an Associate Degree; or an equivalent combination of experience and education.
Skills and Abilities
- Ability to coordinate multiple tasks in a fast paced medical office with a calm and pleasant personality.
- Highly motivated team player with strong communication and interpersonal skills with an emphasis on Superior Customer Service in dealing with both physicians and patients.
- Strong administrative and organizational skills.
- Strong computer skills to include data entry skills associated with scheduling and accessing electronic medical records.
- Ability to exercise independent judgment, multi task and balance multiple priorities.
- Must be flexible and willing to learn new procedures/processes.
- Demonstrated record of attendance and reliability.
- Professional demeanor and attire.
- Ability to connect internal and external customers with these resources.
- Ability to listen, ask questions and gain clarification; ability to recognize and triage patient emergencies.
- Ability to resolve problems collaboratively and independently.
Preferred:
Familiarity with ICD and CPT coding and a working knowledge of Epic scheduling system.
