Position Overview
The Dental Office Supervisor oversees the daily operations of a busy dental office, ensuring efficient workflow and compliance with regulations. The role involves managing staff, addressing patient concerns, maintaining office systems, and supporting the senior manager and dentists as needed. This position requires flexibility to work between two locations, based on clinic needs.
Key Responsibilities
Office Operations Management :
Supervise daily operations to ensure smooth functioning of the dental office.
Assign and oversee staff duties, adhering to office policies and legal requirements.
Ensure compliance with OSHA, state, and federal regulations.
Maintain and update office computer systems.
Manage patient financial accounts and ensure accurate record-keeping.
Stay informed on trends, legislation, and regulations in the dental profession.
Patient Management :
Oversee patient relations, addressing complaints and explaining office policies.
Support staff as needed with scheduling, collections, insurance, or assisting dentists.
Monitor patient satisfaction through regular surveys and feedback.
Staff Management :
Assign, direct, and manage staff duties in collaboration with the senior manager and dentists.
Create staff schedules and adjust them as necessary.
Train new staff and organize ongoing training sessions, including OSHA and HIPAA compliance.
Monitor staff performance, resolve conflicts, and coordinate team meetings.
Ensure compliance with workplace policies and display required regulatory posters.
Additional Responsibilities :
Occasionally assist as a Dental Assistant (DA) when needed, including handling instruments and supporting procedures.
Flexibility to stay beyond regular hours when procedures extend past the scheduled time (compensated for additional time).
Qualifications and Requirements :
High school diploma or equivalent.
Dental Assistant certification and X-ray license.
Bilingual in English and Spanish.
Experience in both dental assisting and front office operations.
Supervisory experience, with the ability to lead and motivate a team.
Proficiency in software systems such as EPIC, Apteryx, and Dentrix.
Knowledge of OSHA and HIPAA compliance standards.
Schedule :
Flexibility to work at both shifts : 7 : 30 AM–4 : 30 PM and 8 : 00 AM–5 : 00 PM locations.
