POSITION SUMMARY:
The clinic manager plays a critical role in managing the daily operations of our medical clinics including effective schedule management, stocking all required supplies, training and managing all staff members, overseeing a robust & comprehensive workflow. Clinic Managers work to create a team-based, collaborative workforce to support medical providers in their task to provide excellent patient care by enforcing company policies and following company procedures. Clinic managers are also responsible for creating a clean, safe, compassionate, welcoming environment for all patients & staff.
FULL JOB DESCRIPTION:
- Practices continuous learning techniques to be knowledgeable of all staff and clinical functions performed within the clinic
- Provides excellent customer service, thoughtful patient care and comprehensive & effective staff support
- Works closely and cooperatively with Practice Administrators to implement the goals, initiatives and transformations of MedNOW Clinics.
- Promotes positive culture in the organization by supporting the initiatives of MedNOW Clinics, practicing courteous, clear, honest, and complete communication
- Organizes staff and provider meetings monthly
- Practices active listening techniques and empathy in all interactions with patients and staff.
- Uses team centered approaches to work with all clinic staff and other departments to effectively manage all operations within the clinic.
- Completes annual reviews and positive recognition of staff when appropriate and documents these initiatives appropriately and professionally.
- Completes disciplinary action, conflict resolution and staff coaching when necessary and documents these initiatives appropriately and professionally.
- Completes payroll and monitors and manages employee timecards, time off, and leaves of absences
- Builds and monitors all clinical schedules and monitors weekly for accuracy
- Ensures clinic is appropriately staffed at all times and coordinates with other managers and Practice Administrators when staffing assistance is necessary
- When new staff is required, clinic managers are responsible for interviewing and hiring staff in connection with our Human Resources Director
- Ensures all required supplies are in stock for administrative and clinical purposes in line with budgets outlined by Practice Administrators.
- Completes monthly expense reports correctly and on time.
- Completes other billing reconciliations or provides necessary information when requested by Accounting for expenditures such as lab bills and supply order bills
- Understands and considers the full billing cycle for patient care within the clinic workflow and helps to correct errors when they occur, and answer questions from patients related to basic patient charges
- Escalates patient inquiries on billing when necessary
- Understand and supports all Value Based Care requirements and practices and participates in all schedule meetings
- Manages facilities and effectively requests approval for necessary expenditures related to repairs and equipment that are outside the operating budget
- Responds to all inquiries from Executive Staff Members within the timeframe requested
- Completes End of Day reports, product tracking and reconciliations in line with company policies and procedures
- Handles cash flow and deposits and documentation to ensure all cash income is accounted for and deposited weekly.
- Maintains active knowledge of and compliance with HIPAA requirements
- Additional duties as assigned
EXPERIENCE & REQUIREMENTS:
- Previous experience in a physician’s office preferred
- Strong Organizational skills
- Ability to thrive in a fast-pasted environment and work well as part of a team
- Strong Communication skills
- Demonstrates compassion and empathy with team members and patients
- Must have the safety and well-being of every patient as the highest priority.
- High School Diploma or Equivalent
