Position Overview: We are seeking a motivated and detail-oriented Operational Support Coordinator (Temporary) to join our dynamic clinical operations team. In this role, you will be responsible for coordinating internal patient referrals within our corporate healthcare system, ensuring smooth and efficient communication between departments, healthcare providers, and patients. The ideal candidate will possess strong organizational skills, a customer-service focus, and a passion for helping patients receive the care they need.
Key Responsibilities:
- Patient Referral Management:
Receive and process internal patient referral leads from various clinics / departments within the corporate healthcare system. Ensure all required information is accurately documented and forwarded to the appropriate clinic locations or departments. - Coordination & Communication:
Act as a liaison between internal clinic team members, corporate team members and patients to facilitate seamless referral processes. Provide timely updates to patients regarding referral status, appointment scheduling, and follow-up actions. - Data Entry & Documentation:
Maintain accurate and up-to-date records of patient referrals, including referral details, appointment schedules, and outcomes. Utilize electronic health records (EHR) and other internal systems to track patient referrals and follow up on pending cases. - Scheduling & Appointment Coordination:
Collaborate with medical providers and patients to schedule referrals and appointments. Ensure that patients are properly informed of appointment times, locations, and necessary preparations. - Patient Advocacy & Support:
Serve as a point of contact for patients or clinic staff requiring assistance with navigating the referral process. Offer support in addressing patient inquiries and concerns to ensure a positive experience throughout the referral journey. - Quality Assurance:
Regularly monitor and audit referral processes to identify opportunities for improvement. Ensure compliance with healthcare policies, protocols, and regulations to maintain a high standard of patient care. - Collaboration with Clinical Teams:
Work closely with clinical staff, clinic directors, and administrative teams to optimize referral workflows and ensure the timely resolution of any issues or concerns related to patient referrals.
Qualifications:
- High school diploma or equivalent required; Associates or Bachelors degree in healthcare administration, nursing, or related field preferred.
- 1-3 years of experience in healthcare administration, medical office coordination, or a similar role.
- Strong understanding of healthcare systems, patient referral processes, and medical terminology.
- Proficiency in using electronic health records (EHR) systems and Microsoft Office Suite.
- Excellent communication and interpersonal skills, with the ability to interact professionally with patients, medical staff, and internal stakeholders.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks in a fast-paced environment.
- Ability to maintain confidentiality and comply with HIPAA regulations.
