Front Office Manager duties include supervising the day-to-day operations of front desk and reception areas in the assigned medical practice. This role will be responsible for training and managing administrative staff, supervising administrative and clerical duties, and addressing customer complaints and queries. A successful Front Office Manager should have a good set of organization, time management, and leadership skills as well as the ability to develop their team to reach higher levels of productivity and quality in work.
Location Requirement: The role requires the candidate to work in multiple locations as needed.
Primary Responsibilities
The incumbent may be asked to perform job-related tasks other than those specifically stated in this description. The duties and responsibilities of the position are to be carried out in a manner that is consistent with the Mission, Core Values and Operating Principles of CAO.
- overseeing daily operations, including patient scheduling, staff management, and ensuring optimal office workflows.
- Ensure compliance with HIPAA regulations.
- Develops and implements front office policies, objectives, and standard operating procedures.
- Ensures effective communication between all departments and the front office to better meet the needs and goals of patients and the practice.
- Supervises hourly employees in the performance of tasks associated with their clerical roles. Participating in hiring, onboarding, training, payroll, coaching, and development of new and current front office employees. Including: performance evaluations, performance improvement plans, disciplinary actions, employee advancements, and terminations.
- Ensures all staff carry out appropriate and professional communications with patients, visitors, providers, all other staff and third-party vendors.
- Serves as a resource to staff by answering questions, assisting with problems, and providing training as needed.
- Have an understanding of managing insurance claims, billing, and coding for orthopedic and pain management services.
- Implements quality and performance improvement measures for the Front Office staff.
- Manages the schedule for all front office staff and supervises workload productivity during shifts for opportunities in scheduling efficiencies.
- Uses a wide variety of communication formats to keep staff regularly informed and trained with one-to-one and team meetings.
- Ensures compliance with current healthcare regulations, the high ethical standards of the CAO, and federal, state, and local laws.
- Performs other duties as assigned.
Required Education & Experience
- Process management and medical practice leadership of 3 years or more.Front Desk
- Bachelor’s degree in business administration, healthcare, or a related field preferred.
- Relevant work experience in a medical office management role, preferably in an orthopedic, sports medicine, or pain management setting.
- Proficient knowledge of medical terminology.
- Above average spelling and typing skills needed.
- Proficiency with Microsoft Office suite of products.
- Experience collaborating across multiple functions.
- Experience innovating in a fast-growing work environment and dealing with ambiguity.
- Familiarity with insurance billing, coding, and EMR systems.
