We are looking for a Front Office Clerk. The Front Office Clerk is part of the ‘face’ of our practice and combines a pleasant personality with a dynamic professional attitude to deliver an industry respected customer service experience. You will master all front desk activities, including phone communications, scheduling in-take and therapy appointments, verifying benefits, collecting from clients and posting payments.
Essential Duties and Responsibilities:
- We strive to maintain a smooth running office; perfect attendance is desired - our front office is vital to the operation and must be reliable
- The front office is the first contact a patient has with our practice. How you dress, greet and serve the patient will have a strong influence on how they perceive the facility
- Respond to inquiries by patients, prospective patients, and visitors in a courteous manner; recognize signs of emotional or medical crisis and promptly seek immediate assistance from the Clinical Director or other available licensed staff when necessary
- Collect copays, coinsurance and or deductibles at the time of service per the Verification of Benefits
- Review upcoming appointments to ensure all required patient forms are up to date, signed and in the patient chart prior to providing service; make every effort to have the forms completed before the first visit.
- Ensure copies of identification and insurance cards are in the chart for all patients
- Manage clinician schedules as required
- Within the limits of your role, work to minimize late cancels and no shows and do your best to collect when it does happen
- Register new patients and update existing patient demographics by collecting detailed patient information including personal and financial information
- Facilitate patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff
- Responsible for keeping the reception area clean and organized
- Respond to tasks in a timely manner
- Keeps office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment
- Protect patient confidentiality, making sure protected health information is secured by not leaving PHI in plain sight and logging off the computer before leaving it unattended
Skills:
- Attention to detail in all aspects of the job is absolutely required
- Hands on experience with office machines (e.g. fax machines and printers)
- Strong aptitude for excellent customer service
- Proficiency in English (oral and written)
- Excellent communication and people skills
- Good organizational and multitasking abilities
- Problem-solving skills
- High School diploma
*Compensation based on experience
