Job Description
The Administrative Assistant is responsible for performing non-standard and non-transferrable clerical and secretarial duties by following established procedures. Responsibilities may include answering telephones; distributing mail; preparing forms; filing; preparing standard correspondence and reports; copying a variety of materials; entering, sorting, and verifying data; maintaining office supplies; performing receptionist activities such as directing the public and providing information; scheduling meeting and appointments; tracking work orders and related department activities; and sharing data on departmental website or bulletins.
Job Responsibilities
ESSENTIAL DUTIES:
Prepares, transcribes, edits, and/or maintains routine reports, forms, files, electronic and physical records, timesheets, rosters, and other standard correspondence and documents by entering, sorting, tracking, scanning, and/or updating data; records and posts meeting minutes; and prepares informational packets.
Performs receptionist duties, to include answering and routing phone calls; greeting and directing visitors to applicable departments or locations; providing standard departmental information; maintaining calendars and scheduling meetings, interviews, and appointments; and accepting payments and issuing receipts.
Receives, sorts, and distributes mail; posts data to update websites or bulletins; checks office supplies and orders supplies as directed; and performs related office support duties.
Performs other duties of a similar nature or level.
Positions assigned to Health and Human Services may be responsible for:
- Transcribes, proofreads, edits, and redacts reports according to state statutes.
- Maintains contact lists and databases.
- Interacts with the public frequently.
- Maintains office inventory.
- Prepares and disseminates information to internal and external agencies.
- Maintains department calendars
- Processes payments and bills.
- Processes/Enters applications for public assistance and determines expedited processing.
- Notary duties.
- Coordinate medical transportation for clients.
Education and/or Experience
TRAINING AND EXPERIENCE REQUIREMENTS:
High school diploma or G.E.D. and two years administrative support or related experience.
KNOWLEDGE REQUIREMENTS:
- Modern office procedures and equipment;
- Recordkeeping principles;
- Mathematical concepts;
- Filing systems;
- Computers and related software applications;
- Customer service principles;
- Specialized equipment relevant to area of assignment;
- Modern office technology.
SKILL REQUIREMENTS:
- Providing customer service;
- Maintaining records and files;
- Utilizing a computer and relevant software applications;
- Utilizing communication and interpersonal skills as applied to interaction with coworkers, supervisors, the general public and others to sufficiently exchange or convey information and to receive work direction.
PHYSICAL REQUIREMENTS:
Positions in this class typically require reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.
Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.
