The Sales and Logistics Assistant plays a vital role in ensuring the smooth flow of logistics operations while supporting the sales efforts at our Cherry Packing Facility. This role involves coordinating shipments, assisting with sales documentation, and managing customer relationships in a fast-paced, seasonal environment. You will be a key point of contact between internal teams and external stakeholders, ensuring operational efficiency and customer satisfaction.

Key Responsibilities:

Logistics Coordination:

  • Coordinate and schedule export and domestic shipments according to customer orders, production schedules, and shipping requirements.
  • Ensure timely shipment scheduling to meet customer expectations and delivery deadlines.
  • Communicate with the shipping department to prioritize shipments, allocate resources, and coordinate inbound and outbound trucks.
  • Enter logistics data into internal software systems, ensuring accuracy and consistency across shipment records, tracking numbers, and related documentation.
  • Provide regular updates to internal teams and external stakeholders regarding shipment statuses and any logistical issues.

Sales Assistance:

  • Work closely with the sales team to submit accurate purchase orders (POs) in a timely manner, ensuring that all customer orders are processed without delays.
  • Verify that the pricing entered into the system is correct, matching the agreed-upon rates and any discounts or promotional offers.
  • Assist in the development and maintenance of customer accounts, including keeping track of customer preferences, special requests, and order history.
  • Collaborate with the sales team to handle product adjustments, ensuring that the necessary documentation is provided to customers for any discrepancies.
  • Ensure that all custom stickers, labels, and packaging instructions are accurately collected, verified, and entered into the system to match customer requirements.

Customer Relations:

  • Serve as a point of contact for customer inquiries related to orders, pricing, shipments, and documentation.
  • Assist the sales team in responding to customer questions, providing timely updates, and resolving any issues related to orders or shipments.
  • Build and maintain positive relationships with customers, ensuring their needs are met efficiently and accurately.

Documentation and Record-Keeping:

  • Manage and organize sales, logistics, and accounting documentation, ensuring records are complete, accurate, and up to date.
  • Use internal software systems and spreadsheets to track orders, shipments, customer requests, and pricing data.
  • Assist in ensuring that all POs, sales orders, and other documentation are correctly entered, stored, and accessible for future reference.
  • Collaborate with the accounting team to ensure accurate invoicing and financial records related to sales and logistics.

Miscellaneous Tasks:

  • Assist with general administrative duties such as answering phones, responding to emails, and maintaining organized filing systems.
  • Coordinate meetings, follow-up emails, and communications with suppliers, vendors, and other external parties.
  • Provide support for other departments and teams as needed to ensure smooth operations across the facility.

Qualifications:

  • Previous experience in sales, logistics, or a related field is preferred.
  • Strong organizational and time management skills with the ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office, Google Suite, and internal software tools for data entry, tracking, and documentation.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with both internal teams and external customers.
  • Detail-oriented with strong problem-solving abilities, especially when handling pricing discrepancies or order adjustments.
  • Ability to adapt to a fast-paced, seasonal work environment while maintaining high levels of accuracy and customer service.
  • Flexibility to work extended hours, including weekends, during peak seasons.
