What are the responsibilities and job description for the Office Coordinator/Administrative Assistant position at Mega Contracting Group, LLC?
An Astoria based General Contracting firm is currently seeking a full-time Office Coordinator/Administrative Assistant.
The responsibilities include, but are not limited to:
- Daily reception coverage for 2 hours a day, plus additional coverage when needed.
- Performs weekly inventory review of all office and cleaning supplies, ensuring that there are adequate quantities of regularly requested items.
- Creates POs for SGA’s and project site purchases, places order, receives purchases and distributes inventory as needed.
- Works with Project Manager, Super, Labor Monitors to ensure that new project sites have necessary office and cleaning supplies needed.
- Places food orders for company events.
- Oversees the storing, scanning, and archiving of documents to ensure that all pertinent company related information (office and the project sites) is available if needed.
- Completes necessary documents for the vehicles based on needs such as registrations, changes in titles, vehicle registration, plates, EZ-pass.
- Coordinates with Deliveries to have the documents brought to DMV so that transactions can be completed.
- Coordinates holiday basket distribution and orders, Thanksgiving turkeys for employees and holiday office decor.
Required skills:
- Excellent written and communication skills
- Proficiency with programs from Microsoft office such as but not limited:
o Word
o Excel
o PowerPoint
o Outlook
- The ability to work independently as well as part of a team
Education & Experience:
- Notary
- S-95 certification or willingness to obtain certification
- Minimum 5 years of admin experience with reception coverage a plus.
