Job Summary

Mega Service Solutions is seeking a strategic and detail-oriented Project Manager – One-Time Services to manage the planning, execution, and optimization of one-time cleaning and maintenance projects. This role combines project management, subcontractor oversight, client coordination, and operational leadership to drive efficiency, quality, and profitability. The Project Manager will be responsible for ensuring seamless service execution, maintaining compliance, and improving processes for sustained growth.

Key Responsibilities

Project Planning & Execution

Lead the end-to-end management of one-time service projects, ensuring alignment with the Scope of Work (SOW)and contractual obligations.

Develop detailed project plans, schedules, and resource allocations to ensure smooth execution.

Oversee and manage workforce scheduling, ensuring proper staffing and supervision for every project.

Conduct quality assurance inspections, ensuring all jobs are completed to standard and securing sign-offs from Mega Supervisors.

Track and report on project progress, identifying bottlenecks and ensuring on-time completion.

Operational Efficiency & Process Improvement

Participate in the transition from HubSpot to the Janitorial Manager Work Order system, training staff and ensuring smooth adoption.

Identify process improvement opportunities, optimizing workflows to enhance operational efficiency and reduce costs.

Maintain and enhance compliance tracking for subcontractors and employees, ensuring alignment with OSHA.

Subcontractor & Vendor Management

Build and maintain a network of reliable subcontractors, ensuring workload balance to prevent underperformance.

Provide performance feedback and training opportunities to improve subcontractor quality and compliance.

Enforce independent contractor agreements and address service quality concerns with corrective action plans.

Client & Stakeholder Coordination

Serve as the primary liaison with the prime contractor, addressing inquiries, resolving concerns, and ensuring service excellence.

Maintain clear, open communication with clients, team members, subcontractors, and vendors to resolve issues efficiently.

Implement client feedback loops to enhance service quality and ensure client satisfaction.

Financial Oversight & Budget Management

Monitor and manage budgets for one-time projects, ensuring cost control across labor, supplies, and transportation.

Negotiate contracts and terms : Engage with subcontractors and suppliers to secure the most competitive pricing and favorable conditions, ensuring cost-effective procurement of high-quality goods and services for Mega

Track pay rates and billing to prevent discrepancies and ensure accurate financial reporting.

Asset & Compliance Management

Oversee equipment rental contracts, ensuring necessary documentation and compliance before asset deployment.

Coordinate pick-up / drop-off logistics for rental assets, ensuring adherence to contractual obligations.

Ensure employee and subcontractor onboarding aligns with company compliance standards, including OSHA training and background checks.

Oversee asset maintenance : Schedule and coordinate regular inspections, repairs, and upgrades to ensure that all project-related assets operate efficiently, safely, and reliably.

What We’re Looking For

Required : Spanish and English language proficiency

3 years of experience in project management, operations, or a related role (facility services experience preferred).

Strong leadership and organizational skills to manage multiple projects simultaneously.

Proficiency in workflow management tools (Janitorial Manager, HubSpot, Google Workspace, Microsoft Office).

Experience with budget management, compliance tracking, and workforce coordination.

Excellent problem-solving and communication skills, with a proactive approach to addressing issues.

Knowledge of subcontractor compliance, OSHA regulations, and industry best practices.
