Position Summary:
The Scheduling Coordinator is responsible for coordinating time and resources of a multi-craft team, including the scheduling and assignment of rigging and associated crews to jobs / job sites based on customer requirements and Department of Transportation (DOT) regulations. The Scheduling Coordinator will collaborate with regional office leadership to schedule work, disseminate assigned work information, maintain schedule calendar, and arrange for and coordinate needed equipment and resources. This position will supervise dispatch roles; and oversees the process for rented and MEI-owned equipment and tools assigned to crews per job requirements, and MEI equipment is scheduled for maintenance.
Essential Job Duties and Responsibilities:
- Plan, coordinate and schedule work crews and equipment according to each job requirements, including considerations for travel, load time, and non-job related projects and tasks.
- Responsible for Sales and Operating Plan (S&OP) processes, and completion of related records and reports on a weekly basis.
- Confirms customer project start dates; prepares labor and equipment to be ready for specified start dates. Communicates job start / pause / stop events to crews and dispatch.
- Compiles information regarding project costs (including new or differing customer requests or ad-hoc work) to assist in budget considerations and the determination of project success during and after completion.
- Tracks, analyzes, and reports program milestones, risks, and interdependencies that may impact customer deliverables, and offers alternatives to correct and/or prevent negative impacts.
- Prepare, organize and distribute all required paperwork to appropriate groups (crew, accounting, operations management) related to the job, change orders, assignment of crew and equipment, safety, JHA’s (job hazard analyses), and equipment readiness, inspections, and identified completed or necessary repairs.
- Update dispatch job board daily by adding and/or cancelling pending and confirmed jobs.
- Coordinate, track, and schedule drop off and pick up of all equipment and rentals related to jobs, including equipment from other MEI locations.
- Coordinates the work of dispatchers and provides direct supervision to dispatch staff; supervision activities may include certain payroll or administrative functions, such as approving time or time away, and coaching performance.
- Communicate daily with job foreman and drivers for efficiency of scheduling and dispatch.
- Perform other duties as necessary or assigned.
Minimum Qualifications (Experience, Skills, and Education):
- High school diploma or equivalent necessary. Higher degree (Bachelor’s) in a field related to supply chain or logistics preferred.
- A minimum of two (2) years proven scheduling experience with logistics or comparable industry experience required. Knowledge and experience pertaining to rigging and equipment movement highly preferred.
- Demonstrates a full understanding of operations and is able to create high-level master schedules for the assigned regional office or geographical area.
- Excellent interpersonal and communication skills; can disseminate complicated or technical information across all levels of staff.
- Strong project management skills with a talent for coordinating multiple schedules, deliveries, and needed materials or necessary job skills.
- Utilizes critical thinking and problem-solving skills and can make decisions with limited information as appropriate.
- Demonstrates excellent time-management skills and encourages time efficiencies with others. Is self-directed and self-motivated.
- Knowledge of inter and intra-state transportation and DOT requirements relating to large vehicle or heavy equipment movement.
- Possess strong computer skills, including an intermediate to advanced understanding of Microsoft Office (Excel, Word, Outlook, etc.).
- Has a good understanding of the structure and content of the English language, including the meaning, spelling, and correct use of words; able to keep accurate and legible records in English.
- Is detail-oriented with the ability to envision or anticipate outcomes to work performance.
- Possess a valid driver's license and can travel locally as necessary.
Physical Requirements and Working Conditions:
Normal, climate-controlled office environment. Majority of work will involve extended periods of sitting; will frequently use a computer, keyboard / mouse, and standard office equipment. Will occasionally walk or access areas outdoors, over uneven terrain, or in non-climate controlled or warehouse environments; and occasional lifting of up to fifty (50) pounds. Will use senses involving sight, sound, and touch. May require travel by automobile within the local geographical area.
