Senior Administrative Assistant, Private Markets
The Private Markets Senior Administrative Assistant provides high-level administrative support to the Private Markets department, including to senior staff and the Director of Private Markets. This role involves a variety of administrative tasks, including assisting with governance of internal operations of Private Market committees, coordinating meetings, ensuring meticulous record-keeping, and performing various clerical tasks to ensure the smooth functioning of daily operations. An exceptional candidate is one who is adept at navigating intricate schedules, fostering uninterrupted communication across various time zones, and maintaining strict confidentiality. Such a professional is key to enhancing the productivity of our leadership, allowing them to concentrate on strategic objectives and manage essential practices within the Private Markets research framework. The individual selected for this position will be based at our Westwood, MA site and is required to adhere to a hybrid work arrangement, which entails spending 2 days per week in the office.

Required Skills:
- Bachelor’s Degree in Finance, Business, Legal, Administration or other relevant areas.
- 6 years of experience in a professional, corporate environment supporting senior professionals.
- Excellent Microsoft Office Skills including Outlook, Word, Excel, and PowerPoint.
- Demonstrate ability to communicate effectively with all levels of the organization
- High attention to detail to ensure accuracy in performing tasks
- Ability to work accurately in a detailed and time-sensitive environment
- Adaptable and able to manage multiple tasks and projects with changing priorities
- Strong interpersonal, communication, and group collaboration skills
- Ability to work independently and to proactively take initiative on different taskforces
- Exercises judgment within defined procedures and practices to determine appropriate action
- Confidence in interfacing with executives and their staff, particularly in written and verbal communication
- Communications must be clear and concise across all levels of the organization.
Essential Responsibilities:
- Assist senior Private Markets staff with client requests.
- Develop and maintain weekly agendas and meeting minutes, ensuring precise information is captured and disseminated.
- Help track and inform stages of due diligence efforts to ensure team meets deadlines
- Accurately document meeting discussions and decisions and oversee the distribution and storage of meeting minutes while maintaining updates to reflect current or future information and requirements.
- Assist with establishing and maintaining best practices, which include defining governance processes, policies, guidelines, roles, and responsibilities.
- Work with other members of the administrative staff to establish and communicate broadly uniform administrative procedures and practices.
- Facilitate communication between Admin, Investment Associates, Analysts, Consultants, and Legal teams to effectively manage information flow for various tasks and processes.
- Support the creation of presentations and reports by applying formatting techniques and converting documents as needed.
- Oversee continuous calendar management and propose enhancements within the entire Private Market department.

- Ability to perform essential duties autonomously with little supervision.
- Displays initiative in providing suggestions for increased efficiencies in workflow and procedures.
- In-depth knowledge of the different facets of our business and team procedures.
- Act as a resource to management for ad hoc projects and defining procedures, controls, and new processes that might improve operational efficiencies.
- Degree of professionalism in telephone and email communications with clients and among various teams
- Responsiveness to requests for administrative support, including requests for word‑processing and report production assistance
- Levels of satisfaction of company employees, clients, and guests as end-users of the Senior Administrative Assistant’s Service.
