Administrative Assistant Overview
The Administrative Assistant is responsible for providing administrative and clerical support for the Education Department. This includes the establishment and maintenance of files, records and other forms for the education department. The Administrative Assistant is responsible for being flexible to adjust support across the education department as needed.
Schedule and Salary Information
- Monday- Friday 8am-4:30pm
- Starting Rate: $17.00/hour ( ) based on years of experience
- Fully on-site
Requirements
- High School Diploma required. Associate’s degree or higher preferred.
- A valid driver’s license and ability to meet approved Melmark driver status.
- Working knowledge of Windows Operating Systems, Microsoft Office and any other software programs relative to essential skills above (e.g., ADP, Outlook, PFM).
- A minimum of one (1) year experience in a related field preferred. Experience in a school setting highly preferred.
Administrative Assistant Responsibilities
- Ensures they exemplify the Melmark Mission, Vision, and Core Commitments.
- Assists Directors, Assistant Directors, and Curriculum Coordinators with maintaining student files. This includes typing, organizing, and mailing related to educational correspondence. Performs document drafting, transcription, copying, scanning, and faxing, as needed.
- Assists with maintenance of student files, program operation forms, correspondence (e.g., PDE mailings, IEP’s, progress reports) and completed forms (i.e., parent consents, IEP meeting waivers).
- Supports department system implementation and fidelity across the educational department, including but not limited to: completing file audits, compliance checks, review meeting schedule development, inventory checks/distribution, and environmental checks.
- Participates in assisting with daily student transportation drop-off and pick-up from the school building. Ensuring students arrive at their assigned classroom.
- Coordinates and schedules meetings with internal Melmark attendees, parents/families, school districts/LEA’s, county Supports Coordinators, and other team member, as indicated.
- Supports curriculum material management under the direction of Curriculum Coordinators.
- Supports the education department in maintaining compliance with all applicable regulations.
- Provides receptionist coverage, as needed or requested by Supervisor.
