Administrative Assistant
This position is located in Wallops Island, Virginia.
The core working hours are 8:00am to 4:30pm, Monday through Friday.
The hourly wage is $32.13 per hour
This is a non-exempt position. Employees are eligible for overtime pay for any hours worked over 40 hours in a standard workweek should it be necessary.

This position includes the ability to meet deadlines, the utilization of superior multitasking skills in an operations environment, communication in a professional and diplomatic demeanor, working non-standard work hours driven by mission support schedules and providing time critical and extremely accurate follow-up to all customer and management inquiries.
The Administrative Assistant shall be proficient in the use of the Microsoft Office Suite (e.g. Word, Excel, PowerPoint, Outlook, Project, Access, and Visio), WebTADS, CGE Travel Solutions, and SATERN, as well as common web browsers such as Internet Explorer, Firefox, Chrome, and Safari.

Travel Requirements Development
- Gathers travel requirements from Office personnel so official travel preparer has all information required to initiate the travel request in the NASA system.
- Supports the execution of travel itineraries (e.g. travel reservations, travel vouchers and reports) as needed in support of the travel preparer and the traveler
- Maintain a professional office environment that is open and welcoming to staff and visitors (e.g. organized, free of clutter, well lit)
- Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies and placing and expediting orders for supplies
- Coordinates new employee computer and phone requirements
- Maintain electronic and hard copy filing system
- Coordinates office moves, including phone and LAN line moves
- Serves as the point of contact for office equipment repair, including printers and copiers
- Expertly drafts and routes non-technical executive correspondence.
- Oversees compliance for employee training requirements
- Tracks and ensures all employee training requirements are met by communicating to Office personnel verbally, via email, and in Office staff meetings when training requirements have been announced and at the completion of training.
- Assists in Performance Appraisal scheduling
- Interfaces professionally and effectively with external customers and contractors
- Manages conference room scheduling and setup
- Answer Office management phone calls when Office management are not available and take message and convey call information to the appropriate
- Serves as backup for visitor/contractor badging and access control for Office including badge processing for visitors
