Job Summary:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support the CEO and the executive team. The ideal candidate will be a key player in ensuring the smooth operation of executive functions, including managing communication, coordinating board meetings, handling confidential matters, and assisting with office administration. This role requires exceptional attention to detail, communication skills, and the ability to juggle multiple priorities in a fast-paced environment.
Key Responsibilities:
· Board Administration Support: Assist the CEO with preparation for board meetings, including distributing materials, taking meeting minutes, and maintaining records of board actions and communications.
· Communication Handling: Manage incoming and outgoing mail and email communications on behalf of the executive team, ensuring all items are appropriately addressed and routed.
· Office Management: Maintain office supplies inventory and place orders as needed, ensuring smooth day-to-day operations. Handle administrative duties such as preparing letters, checks, reimbursements, and disbursements.
· Confidentiality: Always maintain confidentiality when handling sensitive information.
· Check Printing and Processing: Print department checks and ensures their proper distribution, adhering to financial protocols and company policies.
· Timesheet Approvals: Review and approve employee timesheets, ensuring accuracy and timely submission for payroll processing.
· Payroll & Benefits Coordination: Experience with payroll and benefits providers such as ADP, Paychex, etc.
· Organizational Skills: Manage office tasks such as handling out-of-office emails, folding and stuffing envelopes, and ensuring timely processing of reimbursements.
Qualifications:
· Proven experience as an executive assistant or in a similar administrative role.
· Strong organizational and time management skills with the ability to prioritize tasks.
· Excellent verbal and written communication skills.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
· Ability to manage multiple tasks in a fast-paced environment and work independently.
· Strong attention to detail and ability to maintain confidentiality.
· Experience working in a multi-client environment is a plus.
Preferred Qualifications:
· Experience supporting C-suite executives.
· Prior experience with board administration and meeting coordination.
