What are the responsibilities and job description for the ADMINISTRATIVE ASSISTANT position at Memco?
We are currently seeking a motivated Part-Time Administrative Assistant with a background in construction to join our team and help support our daily operations.
Key Responsibilities:
- Provide general administrative support, including answering phone calls, responding to emails, and managing schedules.
- Assist with preparing, formatting, and proofreading construction-related documents such as bids, contracts, purchase orders, and reports.
- Maintain and organize files (both physical and digital) related to construction projects, permits, and compliance.
- Track project timelines, deadlines, and key deliverables to support project managers and construction teams.
- Assist in handling invoices, expense reports, and basic bookkeeping duties.
- Coordinate meetings and prepare agendas and minutes.
- Assist with onboarding new staff by ensuring all required safety certifications, credentials, and paperwork are completed.
- Support compliance efforts, including OSHA documentation and safety tracking.
- Maintain and update spreadsheets and databases relevant to ongoing projects.
Qualifications:
- Prior administrative experience in the construction industry is strongly preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Familiarity with construction-related software (e.g., Procore, QuickBooks, Sage) is a plus.
- Ability to manage multiple tasks and work independently in a fast-paced environment.
- Attention to detail and accuracy in data entry and document preparation.
- Familiarity with safety certifications (OSHA 10/30) is a plus.
