ATHLETIC COORDINATOR (Stipend Position)

Summary: To lead, manage, and coordinate the athletics program for the assigned school.

RESPONSIBILITIES OF THE POSITION:

SCHEDULES:

  • Adjust and create some of the athletic schedules in compliance with all rules and regulations of the NHIAA, including date and game limitations, number of games necessary for tournament qualification and league alignments.
  • Verify schedules by contracts with schools involved.
  • Schedule all game personnel to ensure the proper operation of all our events.


ATHLETIC RECORDS:

  1. Confirm that all athletes are registered on familyid
  2. Confirm all athletes have physicals on record
  3. Create Eligibility lists per season based on academics and address
  4. Financial records of game expenditures and receipts
  5. NHIAA correspondence and distribution of same.

EQUIPMENT and UNIFORMS:

  • Verification that all equipment and uniforms are properly cared for and secure
  • Verify all inventories for each sport - provide ordering sheets after each season
  • Confirm Collection of equipment and uniforms after each season or obtain reimbursement for missing items.

TRANSPORTATION: Coordinate all transportation arrangements for all teams each season with the MTA and/or Athletic Director on a weekly basis, including all times, destinations and cancellations.

 

OFFICIALS: Verify officials for football, soccer, volleyball, basketball, baseball, softball, hockey, field hockey and wrestling. 

 

INSURANCEVerify that all participating athletes have personal or school insurance, and provide information to athletes for such.

 

FINANCIAL RESPONSIBILITIES:

  • PETTY CASH:  Maintain control of the $1500.00 that is needed for change at athletic events that charge admission, and for teams that pay entrance fees 
  • ATHLETICS PO: Responsible to maintain the school athletics PO and to balance such with the appropriate paperwork.  Back up information to be provided annually to the finance department with a copy to the Director of Athletics
  • DEPOSITS:  
  1. Administer the sale of tickets for all athletic events that are revenue producing 
  2. Deposit gate receipts in the City of Manchester account. 
  3. File related reports at SAU with a copy to the Department of Athletics. 

CANCELLATION and RESCHEDULING:

Cancel and reschedule games as needed with advice and consent of the District Athletic Director and the opposing team, to include:

  1. Rescheduling dates and times
  2. Transportation adjustments
  3. Canceling and rescheduling of officials, police and all game personnel (scorers, timers, sellers, takers, athletic trainer etc.).

BOOSTER CLUBS:

Act as liaison to the School Booster clubs for the following:

  • Meetings
  • Informational resource
  • Awards nights

ATHLETIC FACILITIES:  

Coordinate the scheduling of Fields, courts, and golf courses with the District Athletic Director.  Coordinate Gym usage for practice and game use at the high school.

GAME SUPERVISION:

  • Responsible for crowd control 
  • Supervise media coverage, police assignments, security for officials and press box arrangements 
  • Supervise the safety of equipment and spectators at all events.

NHIAA: 

  • Act as liaison between NHIAA, Athletic Director, the Principal, and coaches on all correspondence.
  • Coordinate with the NHIAA all schedules, rosters, tournament reports, eligibility affidavits, requests for jamborees and out of season activities, questionnaires and transfer records 
  • Act as Tournament Director for events held at District facilities including all organizational and fiscal responsibilities thereof.
  • Serve on NHIAA committees.
  • Appear before NHIAA committees.

COACHES:  

  • Hire, evaluate and rehire coaches in coordination with the Athletic Director and the Principal (includes coaches and assistants at the high school level - not including volunteer coaches).

 

A typical day will include the following:

  1. Telephone calls from schools, parents, NHlAA, Athletic Director and officials.
  2. Correspondence, receiving, answering, and distribution of.
  3. Contacting of coaches not in the building for information, forms, etc.
  4. Meetings held with the Athletic Director, coaches, and athletes.
  5. Travel to and from fields for inspections. 
  6. All banking deposits and financial reports to the SAU are done during the school day.
  7. On game days all the pay reports forms, the clock, the table set ups and the sellers bank.

 

AFTER SCHOOL TIME:

  1. Meetings with coaches during off season and regular season.
  2. Attending practice sessions.
  3. Distribution of equipment (outside coaches are available only at certain hours).
  4. Evening games - soccer, football, basketball, wrestling, hockey, field hockey and baseball all require the time and presence of the Athletic Coordinator.


Supervisory Responsibilities – Required Special Qualifications:

Hire, evaluate and rehire coaches in coordination with the Athletic Director and the School Principal.

Specified Length/Hours of Position:

This is a supplemental assignment annually renewable with duties to be performed during and outside of regular school hours.  All of these aforementioned duties and responsibilities are expected to be taken care of during the time allotted to the Athletic Coordinator during the school day.
