Job Summary
The Clinical Assistant/Receptionist is responsible for history taking and preparation of patients from newborns to the elderly, for examination as well as assisting with the exam or procedure as requested by the Provider. Is directly responsible for answering phones, taking messages, scheduling patient appointments, entering patient data into the computer system, checking patients into the office, pulling charts, updating patient information/insurance information.

Qualifications
Education:
Must have successfully completed at a minimum, a certified/ registered medical assistant program, preferably, one year of experience in a provider office/outpatient clinic. Knowledge of coding, insurance billing procedures, medical terminology and EPIC software desired.

Assisting patients to exam rooms, medical histories, vital signs, assistance with exams/procedures, maintain/ordering stock in exam rooms and medical supply inventories, scheduling procedures/ surgeries and obtaining pre-certification as necessary. Responsible for cleaning treatment rooms between patients and at the end of the day and the proper cleaning and storage of all equipment used in patient treatment.

Responsible for sample medication, the proper recording and distribution of such medication. Both internal and external personal contacts made on an ongoing basis, with excellent interpersonal skills/relationships a must. In some cases, little supervision given, with routine decision making. Some travel required to provide appropriate coverage to other offices within the care team. Answering phone lines, within 3 rings, taking messages and routing to appropriate personnel, greet patients, gather all/new patient information and prepare appropriate medical records, maintain neatness in reception area and business area. Also checks accuracy of patients' address and insurance information, updating files accordingly. Prepare encounter forms, transferring patient charts to appropriate rack. Update appointment sheets with add-ons, cancellations as necessary. Monitor and distribute items that are faxed on a timely basis, completed daily. Pull, file, copy charts, letters and reports as needed. Assist staff in scheduling referrals, outpatient procedures, etc. Assists with additional responsibilities, as needed.

Requires working under stressful conditions and must be able to work irregular hours. May have exposure to communicable diseases and potentially dangerous body fluids.

1. Performs general nursing care to patients. (20%)
- Assist patients to exam rooms, take medical history, vital signs, preparation of patient for exam
- Perform office procedures as directed by provider
- Screens patients for their presenting complaint and records vital signs for each visit.
- Instructs the patient in collection of samples and tests.
- Administers prescribed injections or sample medications as directed by the providers and recording of such medication.
- Ordering of supplies for exam rooms.
- Assists with the preparation of equipment and treatment rooms and aids the providers during treatment, examination, and testing of patients.
- Assists with appointment bookings and ensures preference is given to patients with emergent conditions.
- File and pull patient charts for daily operation of the office.
- Maintains a timely flow of patients during treatment hours.
- Schedules procedures and/or surgeries, giving patients and/or families complete pre-operative instructions.
- Obtain insurance pre-certification as necessary.
- Answers medically related patient telephone calls, make patient call backs with provider orders, call refills or new prescriptions-instructs patients and family regarding medications and treatments as needed.
- Observes the patients clinic file and reports any allergies or trends noted to the provider before treatment.
- Post and file all test and examination results to chart after they have been signed by the provider and appropriate action taken.
2. Answer Phones, schedule appointments, take messages and route to appropriate personnel. (60%)
