Job Summary :

Under the direction of a Case Management Manager / Director, the Case Management (CM) Department Secretary is responsible for coordinating various activities for the CM Department. Responsible for the performance of clerical / secretarial duties and administrative tasks for the Department to ensure efficiencies within Case Management. The Department Secretary aids in planning, organizing, implementing, and evaluating activities occurring in the CM Department. Actively and consistently contributes to department operations and communications, behaves in a manner consistent with the mission, vision, and values of Pipeline Health, upholding standards of AIDET (Acknowledge, Introduce, Duration, Explanation, Thank you) patient communication.

Essential Functions :

  • Demonstrates ability to prioritize and organize clerical and administrative duties and workflow.
  • Answers the phone, takes messages and communicates / follows up in a prompt and courteous manner.
  • Builds and maintains excellent relationships with outside providers, physicians, and payers.
  • Obtains authorizations from payers.
  • Orders supplies and equipment as needed.
  • Demonstrates ability to correctly operate office equipment and maintain a safe environment.
  • Faxes necessary records as directed by department processes.
  • Assists Manager / Director with multiple tasks including payroll corrections, maintaining staff schedules, scheduling all department meetings, preparing agenda, and taking minutes.
  • Maintains department compliance documentation for IMM, MOON, Patient Choice, Avoidable Days in a clear and concise manner meeting deadline for each report.
  • Prepares reports for Quarterly UM Committee as requested.
  • Can assist with the delivery of the MOON, IMM or Patient Choice Letter.
  • Serves as a resource for TAR completion as needed.
  • Performs essential role in accordance with hospital policies and procedures, regulatory standards and fulfills other job duties as requested within scope.
  • Serves as a role model for the Mission, Vision and Values of the organization and fulfills other job duties as requested within Scope of Practice.
  • Maintains current competencies as well as updated knowledge in specific area of practice.
  • Uses clear, concise, professional communication with coworkers, patients, all customers internal and external.
  • Uses AIDET in interactions with patients and family members.
  • Acts with a sense of urgency when performing tasks.
  • Basic unit / department maintenance such as keeping files, drawers, cabinets free from unnecessary clutter.
  • Reports on any equipment and or environmental issues for repair.
  • Abides by HIPAA (Health Insurance Portability and Accountability Act) regulations.
  • Speaks up to stop the line and escalates potential safety events if necessary.
  • Completes and attends monthly training assigned.
  • Other duties as assigned.

  • Attends staff meetings; follows HIPAA guidelines; follows patient rights policy; complies with the compliance program; demonstrates knowledge of role in a disaster; demonstrates knowledge of fire and fire drill procedures; working knowledge of hospital emergency codes; always utilizes standard precautions in the clinical setting; safely manages the environment of care by demonstrating a working knowledge of the requirements of the : Life Safety program, Utilities Management program, Hazardous Materials program, Emergency Preparedness program, Safety Management program, Medical Equipment Management program, Security Management program.
  • Qualifications / Experience :

  • At least six (6) months prior clerical experience, required.
  • Hospital experience and medical terminology, preferred.
  • Computer skills, preferred.
  • Critical thinking, service excellence and good interpersonal communication skills, ability to read / comprehend written instructions, strong organizational skills, ability to follow verbal instructions, and PC (computer) skills.
  • A capacity to learn, synthesize, make critical judgments, work independently, place patients and families first, and collaborate with the team members who are recognized leaders within health care.
  • License(s) / Certification(s) :

  • Basic Life Support (BLS) from American Heart Association (AHA), required.
  • AB508 Workplace Violence Prevention-Part 1, due within 30 days from hire date.
