Job Overview
We are seeking a highly organized and proactive Office Manager for a medical office to oversee daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess excellent organizational and time-management skills, excellent communication abilities, and a knack for supervising staff. This role is essential for maintaining an efficient office atmosphere while providing exceptional support to both employees and patients.
Duties
- Manage front desk operations and staff, including greeting patients and handling incoming calls with professionalism and courtesy.
- Greet patients and ensure they are processed and attended to accordingly.
- Supervise all staff, providing guidance and support to enhance team performance.
- Maintain organizational systems for documents and files, using our EMR system ensuring easy access and retrieval of information.
- Handle phone systems effectively, ensuring clear communication within the office and with patients.
- Assist patients with issues or questions they may have regarding their billing statements.
- Manage department budgets pertaining to the office.
- Coordinate with the MA lead for office and medical supplies inventory ordering and maintain adequate stock levels.
- Implement office policies and procedures to improve workflow and productivity.
- Assist in scheduling meetings, collaborating with leads and managers to participate in meetings.
- Manage employee times and payroll for accuracy with ADP
- Oversee day-to–day operations of the office.
Requirements
- Proven experience in office management or a similar administrative role in a medical office setting.
- Strong organizational and time management skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills, both verbal and written, with a focus on providing excellent customer service to our patients.
- Proficiency in using MS office software and equipment; familiarity with EMR systems . Athena medical systems a plus.
- Promote a positive attitude and growth-oriented work environment for team members.
- Ability to supervise staff while fostering a collaborative team environment.
- Detail-oriented mindset with strong clerical skills for running efficient workflows.
- A proactive approach to problem-solving and decision-making within the office setting.
- Show professional appearance and demeanor at all times
- Bilingual (English & Spanish) speaker ideal but not required.
