Duties Description The Office of Mental Health (OMH) is seeking a qualified candidate for the position of Administrative Assistant 1/Administrative Assistant Trainee, Grade 11, to work within the Office of Quality Improvement (OQI). The OQI serves to enhance and ensure the quality of mental health programs operated and licensed by New York State (NYS) and this position will support the critical work of this Office.Duties to be performed may include, but are not limited to, the following: o Assign A/N investigations to providers, update the VPCR, track assignments, and remind providers of assignments.o Format, log and mail correspondence.o Process office letters, document correspondence in the trackers, file documents electronically.o Monitor office email boxes. o Schedule meetings and keep Office calendars.o Operate & maintain office equipment and office space. o Enter travel and expense reports for Office staff using SFS.o Distribution list and office list management including updating contact sheets for all State operated facilities.o On and Off-boarding staff and contact person for other departments.o Prepare correspondence, reports and other documents utilizing software such as Microsoft Word, Excel, Access and PowerPoint.o Mailing out Customer Relation posters and correspondence. o Answer telephones and refer calls to appropriate staff members.o Process bounce-back A/N investigations.o File, photocopy, scan, data entry, and answer the phone.o Manage designated office vehicle for sign-up, maintenance and documentation.o Passage Point submissions for visitors.o Stockroom and office supply request processing. o Assist with special projects, as assigned.
The minimum qualifications required for this vacancy. Minimum Qualifications Non-Competitve Appointment: Candidates must have two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.Transfer: Candidates must have permanent status as an Administrative Assistant 1, Grade 11, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law. Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
