We’re seeking a detail-oriented and people-focused People Operations and Credentialing Specialist to join our growing team. In this dual-capacity role, you’ll play a critical part in supporting both the employee experience and the credentialing lifecycle for clinical providers. You will work closely with HR, compliance and clinical leadership to ensure smooth onboarding, compliance, and operational excellence across the organization. This position is in a hybrid setting Monday-Friday 8am - 5pm and will report to the HR Manager.

- End-to-End Credentialing Management: Own and expertly manage the complete provider credentialing lifecycle, from initial application and primary source verification (PSV) to ongoing monitoring and re-credentialing. This includes, but is not limited to, verifying education, licensure, certifications, and work history.
- License and Certification Tracking: Diligently track the expiration dates of all required provider credentials, including professional licenses, board certifications, DEA registrations, and other relevant documentation, including malpractice insurance policies.
- System Updates and Record Maintenance: Accurately and efficiently update and maintain provider credentialing information within the designated credentialing software, HRIS, and other relevant applications. Ensure data integrity and compliance with all applicable regulations and company policies.
- Proactive Renewal Management: Initiate and send timely reminders to providers regarding upcoming credential renewals, proactively following up to ensure timely submission of required documentation to avoid any lapse in their ability to practice.
- Audit Preparation and Support: Maintain meticulous provider credentialing records in strict alignment with company, regulatory and accreditation (e.g., The Joint Commission) standards. Collaborate closely with clinical operations and compliance/legal teams to provide all necessary documentation and support during internal and external audits.
- Malpractice Insurance Management: Track and verify provider malpractice insurance coverage, ensuring adequate and current policies are in place. Manage the collection and storage of relevant insurance documentation.
- Provider Onboarding (Credentialing Specific): Ensure a smooth and efficient credentialing process for newly contracted healthcare providers, guiding them through the required documentation and verification steps.
- Staying Current with Regulations: Continuously monitor changes in federal, state, and local regulations related to provider credentialing and licensing, and proactively update internal processes and systems to maintain compliance.
- Full-Cycle Recruitment (Contracted Providers & Employees):
- Contracted Healthcare Providers: Coordinate the complete recruitment lifecycle for contracted healthcare providers, including sourcing potential candidates, managing applications, scheduling interviews, conducting initial screenings, facilitating the offer process, and ensuring a compliant and welcoming onboarding experience in collaboration with clinical leadership.
- All Employees and Contractors: Manage the onboarding process for all new employees and contractors, ensuring a positive, informative, and compliant experience. This includes managing new hire paperwork, system access, benefits enrollment information, and introductory meetings.
- Employee Lifecycle Management: Support the administration of various employee lifecycle processes, including but not limited to new hires, personnel changes (e.g., promotions, transfers), performance management support, and terminations, ensuring all related documentation and system updates are accurate and timely.
- HRIS and Data Management: Maintain accurate and up-to-date employee and contractor data across the HRIS (Human Resources Information System) and other internal systems. Generate reports and analyze data as needed to support HR initiatives.
- Internal Recruitment Support: Assist with internal recruitment efforts for employee positions, including drafting and posting job descriptions, managing candidate communication, scheduling interviews, and coordinating pre-employment screenings (e.g., background checks, reference checks).
- Employee Inquiry Management: Serve as a primary point of contact for employee inquiries related to HR policies, benefits, procedures, and general HR-related matters, providing timely and accurate responses.
- HR and Compliance Program Support: Assist with the implementation, communication, and administration of various HR and Compliance programs and initiatives, such as performance reviews, benefits enrollment, training programs, and policy updates.
- Culture and Engagement Initiatives: Actively contribute to fostering a positive and inclusive company culture through engagement in and support of initiatives that promote employee collaboration, inclusivity, well-being, and recognition.
- Policy and Procedure Adherence: Ensure all People Operations activities are conducted in accordance with company policies, procedures, and relevant employment laws.
- Other job duties, as assigned to support the overall operational needs of the organization.
- 2 years of experience in HR, credentialing, and/or provider onboarding (healthcare experience strongly preferred)
- Knowledge of credentialing or HR processes, standards and regulatory requirements.
- Familiarity with credentialing and/or HR systems and databases.
- Excellent attention to detail and time management.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
- A strong understanding of the importance of confidentiality and the ability to handle sensitive information with discretion.
- Experience with telehealth or multi-state provider networks.
- Familiarity with applicant tracking systems (ATS) and background check vendors.
- HR or credentialing certification (e.g., PHR, CPCS, CPMSM) is a plus.
- Knowledge of employment laws and regulations (Federal and state).
