The Inspections Administrative Assistant is an important piece to the overall operations of Mercer’s Inspections Department and its continued success to all independent contractors (drivers) leased to Mercer Transportation. By providing support and information to drivers and staff, the Administrative Assistant ensures compliance with federal Department of Transportation (DOT) inspection standards and provides necessary assistance to multiple departments within the company.
Office hours are Monday through Friday, 8am-5pm
The Inspections Administrative Assistant will be responsible for the following:
Essential Job Functions
- Organizing inspection reports, ensuring they meet regulatory requirements.
- Assist in preparing and submitting necessary documentation to regulatory agencies.
- Handles all work processing, filing and record-keeping for Inspections Department. Assists lead personnel in those activities as needed.
- Receives and relays calls for departmental assistance by employees, agents, drivers and others. Provides necessary follow up to make sure tasks are completed.
- Assists with shipping and receiving tasks including documenting shipments and checking inventory levels.
- Assists in basic data entry tasks and report generation related to fleet maintenance and
- compliance
- Works via telephone, computer and in person as needed.
- Performs other administrative tasks as assigned by senior team members.
Essential Skills and Experience
- Ability to answer phones, maintain accurate correspondence and field/answer all routine and non-routine questions.
- Excellent verbal and written communication skills. Ability to convey information effectively and provide others with a clear understanding of information.
- Excellent organizational skills and the ability to develop systems and processes.
- Excellent attention to detail and accuracy.
- Ability to work independently on assigned tasks as well as to accept direction on given assignments.
- Use keyboard, mouse, 10-key calculator, and proficiency with office software and tools including Microsoft Office Suite.
Education Requirements: High School Diploma or equivalent.
