Administrative Assistant

Education: Bachelor’s Degree, Business degree preferred
Skills: Typing and computer skills, Proficient in Microsoft Word and Excel; Must be able to multi-task; Excellent interpersonal skills and exceptional communication skills are a must; Ability to work well under constant deadlines and interruptions. Must have a thorough understanding of, and dedication to, the vision of Mercy Multiplied, along with demonstrated Christian work ethics.
In the Administrative Assistant position, you will be responsible for but not limited to the following:
Liaison to Program Director
- Assists Program Director by screening calls, responding to program-related phone calls, and providing general administrative support to the home.
- Proofreads Daily and Weekend reports and provide summations to Program Director daily.
- Coordinates pass requests with resident parents, Program Director, and Counseling Department.
- Create, format, proofread and contribute to the Shift Change Meeting Notes. Lead shift change meeting as needed.
- Prepare the monthly financial package for review by Program Director.
- Manage household petty cash and keep accurate records in the petty cash log.
- Monitor needs of office supplies and report needs to supervisor.
Administrative Management
- Schedules worship teams for guest speakers and graduations.
- Provide lunch relief to Program Assistant daily and Reception coverage when Program Assistant is out of the office.
- Monitor weekly programmatic activities as needed.
- Manage resident files including media restrictions and phone/mail restrictions. Clearly and timely communicate all changes in the restrictions list to all staff as needed.
- Schedule CPR Training for Staff.
- Update Employee documents (proof of insurance, vaccination records, licensing documentation, etc.)
- Coordinate weekend and facetimes passes between family and residents. Verifying contact information, schedules, and authorization from Counselors.
Interdepartmental Communication
- Collaborates with Human Resources to create a training schedule for New Hires.
- Prepares New Hire ‘Orientation Documents’, as well as conducts home tours, uploads employee documents to HR file, and coordinate Department Meetings.
- Collaborates with Program Director to create and submit monthly calendars to Office of Mercy Founder and President for review and approval.
- Creates and distributes in-home calendar and monthly class teaching resource list.
- Assists with fulfilling requests from Corporate departments (e.g., Marketing, Development, Accounting, Intake, etc.) on behalf of the home, as needed.
Other Duties
- Run errands for the home, as necessary.
- Send Thank You cards and donation receipts to donors.
- Coordinate schedules, materials, and details for guest speakers and worship leaders. Prepare Thank You cards, and honorarium checks for guest speakers and worship leaders.
- Create and distribute the Christmas schedule. Collaborate with residents to create and monitor resident travel plans. Update and verify resident’s emergency contact information. Schedule and train staff for resident voicemail call-in process. Participate in and lead end of the year training.
- Volunteer coordination, communication with volunteers and coordinate schedules.
- Coverage calendar for nights and weekend staff and contacting relief staff for coverage.
Schedule: Monday 8am - 12pm, Tuesday - Friday 8am - 4:30pm (36 hours/week)
Compensation: $22.50 - $23.50/hour

These residential services are offered free-of-charge. The Mercy Multiplied Center for Wellness and Counseling is Mercy’s free-of-charge Outpatient counseling Program for men and women aged 13 and older. Our Outreach Services train and resource men and women to effectively support and minister to those who are hurting and struggling through workshops, videos, podcasts, discipleship teaching, and other practical resources.
