Job Title: Director of Facilities
Reporting Relationship: Executive Director
Job Summary: The Director of Facilities is responsible for the overall management, maintenance, and security of all facilities owned or operated by Mercy Neighborhood Ministries, Inc. This role ensures that facilities are safe, well-maintained, and aligned with the organization's mission and goals. The Director of Facilities will oversee facility operations, budgeting, planning, and compliance with relevant regulations.
The Director of Facilities serves as the point of contact for all facility related vendors including; cable, phone and internet service, central monitoring, elevator, fire protection, food service, HVAC, janitorial services, security systems, roofing, pest control, snow removal, recycling and trash removal, and utilities. General management and care of the facility includes but is not limited to maintaining: the building envelope, equipment and furniture, grounds and landscaping, interior upkeep including painting, plumbing care, lighting, etc., janitorial and sanitation matters, food services coordination, and facility related supply inventory.
Key Responsibilities:
Facility Management:
- Serve as first contact for Central Monitoring (fire and security alarms) and responds appropriately to emergencies or urgent issues as they arise.
- Oversee the maintenance and operation of building sites, grounds, and equipment.
- Perform preventive maintenance on building systems where relevant and capable
- Develop and implement facility management policies and procedures.
- Ensure compliance with health, safety, and environmental regulations.
- Coordinate and oversee facility renovations, refurbishments, and repairs.
- Collaborates with Office Manager regarding events and meeting space needs.
Budgeting and Financial Management:
- Develop and manage the annual facilities budget.
- Monitor and control expenditures to stay within budgetary constraints.
- Negotiate and manage contracts with facility related vendors and service providers.
Planning and Development:
- Prioritize maintenance needs at all sites.
- Collaborate with senior management to develop long-term facility plans.
- Conduct regular assessments of facilities to identify areas for improvement.
- Plan and implement projects to enhance facility efficiency and sustainability.
Staff and Vendor Management:
- Recruit, train, supervise, and evaluate facilities and food service related staff.
- Ensure staff obtain licensure, mandated trainings and certifications and are in compliance with organizational policies and safety regulations.
- Coordinate food services in collaboration with contracted vendors and staff to ensure compliance with procedures and regulations including with the health department.
- Manage janitorial services to include seamless coordination of services between provider(s) and facilities’ staff for daily cleaning as well as projects such as floor care.
- Oversee IT infrastructure and services in collaboration with outside vendor and Office Manager. Serve as point of contact for vendor in terms of contracted services, project management, and infrastructure upgrades.
Security and Safety:
- Serve as first contact for Central Monitoring (fire and security alarms) and responds appropriately to emergencies or urgent issues as they arise.
- Plan and execute routine fire and safety drills
- Develop and implement security policies and procedures.
- Ensure the security of facilities, staff, and visitors.
- Oversee emergency response planning and preparedness.
Qualifications:
- 5 years of experience in facilities management
- Excellent communication, project management and organizational skills
- Willingness to learn the operations and maintenance needs of a green building
- Driver's License required with insurable record
- Strong knowledge of health, safety and environmental regulations
- Criminal Record Check, Child Abuse and FBI Clearance
- Knowledge and understanding of blueprints helpful
- Knowledge of a variety of building maintenance procedures and techniques
- Knowledge of machinery, equipment, and tools necessary for the maintenance and repair of buildings
- Knowledge of building safety practices and recognizing hazards
- Intermediate to advance computer skills
- Leadership and team building skills and capacity
Working Conditions:
- This position requires occasional evening and weekend work.
- The role involves regular inside and outside physical activity, including walking, lifting, bending, and twisting.
- Must be able to respond to emergency situations on short notice.
Salary : $75,000 - $85,000
