Job Overview
We are seeking a highly organized and proactive Front Office Coordinator to manage the daily operations of our clients front office. This role is crucial in ensuring smooth communication between departments and providing exceptional customer support. The ideal candidate will possess excellent phone etiquette and strong office management skills, along with the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Serve as the first point of contact for visitors and clients, providing a warm welcome and assisting with inquiries.
  • Manage incoming calls using phone systems, ensuring all messages are relayed promptly and accurately.
  • Oversee calendar management for appointments, meetings, and events, coordinating schedules for team members as needed.
  • Maintain organized filing systems for documents and records, ensuring easy access to information when required.
  • Provide administrative support to various departments, including data entry and document preparation.
  • Assist with customer support tasks, addressing client concerns and facilitating resolutions in a timely manner.
  • Collaborate with team members to ensure efficient office operations and contribute to a positive work environment.

Skills

  • Strong phone etiquette with excellent verbal communication skills.
  • Proficiency in office management practices and procedures.
  • Experience as a personal assistant is preferred but not required.
  • Competency in computerized systems for scheduling, filing, and communication tasks.

  • Familiarity with calendar management tools to coordinate schedules effectively.

Job Types: Full-time, Temp-to-hire

Pay: $19.00 - $21.00 per hour

Expected hours: 40 per week

Schedule:

  • 8 hour shift
  • Day shift
  • Monday to Friday
