Located on the campus of Meritus Health in Hagerstown, Maryland, MSOM will be part of Western Maryland’s largest healthcare provider, which serves over 200,000 residents across the tri-state area. This strategic location will provide students with direct access to a robust healthcare environment for both education and clinical training.
The inaugural class, the Class of 2029, will begin in July 2025, marking the start of an exciting new chapter in medical education in Maryland. The first cohort will consist of 90 medical students, with future classes expected to grow to 180 students. MSOM’s state-of-the-art facility, the D.M. Bowman Academic Hall, is a 200,000-square-foot, five-story building designed to foster a dynamic learning environment. The building will feature cutting-edge simulation centers, labs, classrooms, and a conference center with the capacity to host up to 1,000 people.
Adjacent to the academic building, Meritus Commons will provide on-campus housing with 340 one- and two-bedroom apartments. The complex will include amenities such as a clubhouse, communal areas, and a dog park. The first 90 units will be ready in time for the arrival of the first class in 2025.
About the Opportunity:
The Conference Center Event and Facility Coordinator is responsible for planning, organizing, and executing events within the Meritus School of Osteopathic Medicine (MSOM) Conference Center. This role includes coordinating with stakeholders, managing facility operations, and serving as the primary super user of the conference center’s A/V technology. The Coordinator ensures all events are executed smoothly while maintaining an exceptional user experience for guests, faculty, and students.
Primary Functions/Responsibilities:
Event Coordination:
- Plan, schedule, and manage events, meetings, and conferences in the MSOM Conference Center.
- Collaborate with event organizers to define requirements, timelines, and resources.
- Act as the primary point of contact for all event logistics and inquiries.
Facility Management:
- Oversee the day-to-day operations of the Conference Center, ensuring the facility is properly configured, functional, and ready for use.
- Coordinate with maintenance and custodial staff to address issues and maintain facility standards.
- Monitor inventory of supplies and equipment, recommending replenishments or upgrades as needed.
A/V Technology Support:
- Serve as the super user for the Conference Center’s A/V systems, including projectors, microphones, cameras, and control systems.
- Train and assist customers in operating A/V equipment during their events.
- Resolve technical issues during events to minimize disruptions.
Event Setup and Execution:
- Arrange seating, equipment, and decor as specified by event requirements.
- Ensure all technological, logistical, and operational needs are met before, during, and after events.
- Manage live streaming, recording, and post-production for applicable events.
Stakeholder Relations:
- Build strong relationships with internal and external event organizers to deliver high-quality experiences.
- Provide professional and courteous support to all guests and stakeholders.
Innovation and Improvement:
- Identify opportunities to enhance the Conference Center’s services and technological offerings.
- Stay updated on industry trends in event management and A/V technology to recommend improvements.
Requirements:
Education & Experience:
- Experience in event coordination, facility management, or a related role is preferred.
- Experience with A/V technology in a professional setting is preferred.
Skills & Competencies:
- Strong organizational and customer service skills.
- Excellent communication and interpersonal abilities.
- Ability to gain proficiency with A/V systems and video conferencing platforms.
- Ability to multitask and manage multiple events simultaneously.
Physical Requirements:
- Ability to lift and transport equipment up to 50 pounds.
- Flexibility to work some evenings and weekends as event schedules require.
