Position Overview
The Senior Enrollment Operations Specialist is an integral part of the Enrollment Management
responsible for providing operational and system support to UG Admission and Visitor Services
teams.
Serving as the primary point of contact for the Undergraduate Admission telephone line, this role delivers exceptional customer service across multiple communication channels, including phone, email, and Mackbot chat, assisting prospective students and families. It also involves overseeing the distribution of recruitment materials, making logistical decisions on inventory management, counselor travel needs, and shipping strategies. Additionally, the position is responsible for coordinating and executing key admission processes, including decision release, ensuring that all necessary data, materials, and communications are prepared in alignment with admission timelines.
A critical component of this role is data integrity and quality control in Technolutions Slate CRM
system to ensure data accuracy and compliance. This includes evaluating and resolving duplicate records, refining queries, and proactively correcting errors in applicant records.

Primary Responsibilities
- Serve as the primary point of contact for the UG Admission line, delivering exceptional customer service across multiple communication channels to prospective students and families. The service channels include telephone calls, email, Mackbot chat, and other new service platforms and technologies.
- Analyze and maintain data integrity, making decisions when processing application information and documentation in Technolutions Slate, Cognos, CX, Cards, and MyMack, ensuring accuracy and compliance with division and institutional policies.
- Evaluate and resolve real time duplicate records in the Slate CRM system, making judgement calls on data accuracy and merging records to maintain a streamlined admission database.
- Oversee the distribution of recruitment materials, making logistical decisions about inventory management, counselor travel needs, and cost-effective shipping strategies.
- Coordinate and execute key processes around decision release, ensuring all necessary data, materials and communications are properly prepared and executed in alignment with admission timelines.
- Perform quality control checks in Technolutions Slate, ensuring applicant records are accurate, complete, and free of errors. Run and analyze reports to identify discrepancies, inconsistencies, or missing data, taking proactive steps to correct errors. Fix and update applicant records by merging duplicate entries, correcting misclassified data, and ensuring compliance with institutional and industry standards.
- Manage and refine queries within Slate, identifying outdated or inefficient queries and making necessary updates to improve data retrieval and reporting accuracy. Ensure data integrity and security by following best practices in handling confidential applicant information.
- Participate and support all UG Admission Signature Events, to include Open Houses, Counselor Days, and Admitted Student Days.
- Willingness to work nights and weekends as needed at various times throughout the year.
- Independently manage special projects or tasks as assigned.
- Bachelor’s degree preferred.
- 1-3 years of higher education experience, preferably in the area of college admissions.
- Familiarity with Slate CRM is preferred.
- Commitment to providing exceptional customer service to internal and external customers.
- Organized and detail oriented with the ability to prioritize and manage multiple responsibilities at all times.
- Exceptional written and verbal communication skills, including the ability to effectively document policies and procedures.
