ADMIN ASSISTANT (CONSTRUCTION-EQUIPMENT-FLEET)

Select Electric, Inc. located in the city of San Diego, and Anaheim, CA is a leading company in the transportation electrical construction industry in Southern California. We perform construction of medium to large projects in the electrical and low voltage systems transportation markets. We have an exciting opportunity for the right person that will be providing telephone and administrative support for Fleet / Warehouse, and operations staff in ANAHEIM, CA.

KEY RESPONSIBILITIES :

  • Manage administrative tasks for the Fleet Department, including obtaining required signature approvals and preparing purchase orders.
  • Coordinate and track orders, communicate via email, and collaborate with the Equipment / Fleet Manager to ensure the smooth operation of the fleet and warehouse departments.
  • Oversee and maintain a range of documents, many of which are highly confidential. This may include drafting reports, letters, and memos.
  • Screen and manage routine or non-critical calls and tasks, escalating matters as necessary.
  • Update the Equipment Database and preventative maintenance records on a daily / weekly basis.
  • Assist with fleet compliance documentation and filing processes.
  • Undertake additional duties as assigned by the direct supervisor.

EDUCATION / EXPERIENCE :

  • Required high school Diploma or GED equivalent.
  • Minimum 2 years administrative experience with research responsibilities, which would provide the applicant with desired skills, knowledge and ability required to perform the job.
  • Minimum 12 months of experience in construction industry and / or equipment compliance preferred.
  • SKILLS, PHYSICAL REQUIREMENTS & WORKING CONDITIONS :

  • Interacts professionally with all company employees and outside persons, such as customers, vendors and professional service providers.
  • Must possess good communication, organizational and problem-solving skills.
  • Working knowledge of business procedures and letter and report formats.
  • Ability to type accurately and maintain confidentiality of work items at all times.
  • Proficient in Microsoft Outlook, Word, PowerPoint, Adobe, Excel and knowledge of spreadsheet applications and ability to accurately enter data.
  • Able to adjust priorities on short notice, manage interruptions and work well under pressure.
  • Ability to timely meet deadlines; coordinate workloads with Supervisor.
  • Manual dexterity and eye-hand coordination are necessary. Mental alertness is necessary to ensure accurate and thorough completion of work activities. Requires the ability to sit for prolonged periods and the ability to operate related equipment such as computer, calculator, copier, fax machine, etc.
