Mesa Associates, Inc. is seeking a part- time Project Coordinator. The Project Coordinator will report directly to the PSO (Project Support Office) Manager and work closely with the client project execution team with full support of the Mesa PSO group.
This position is eligible for hybrid work schedule.
As a Project Coordinator, you will be expected to proactively communicate with the program and project managers and collaboratively work to achieve project goals and solve emergent problems. This position requires the use of independent judgment, enhanced verbal, and written communication skills, and ability to work with minimal supervision with the support of a remote team.
Daily responsibilities include use of tracking and monitoring tools using Microsoft suite, material procurement and bid documentation, document storage, communicating project reports, and both internal and client interface. You will work closely with the program and project managers to ensure daily project tasks are completed. Additionally, you will help log and distribute project stakeholder communications including the creation and maintenance of communication matrices and records. You will be responsible for tracking new projects and any existing project changes, notifying the project leads and meeting with the project teams to review updates as needed.
The Project Coordinator will be responsible for attending weekly internal meetings with project managers, design engineers, and/or other project stakeholders to review project tasks. This role works directly with the engineering team, so knowledge of engineering milestones, deliverables within substation design projects is preferred.
The successful candidate should have a bachelor’s degree in engineering, business management, or related field from an accredited curriculum along with a minimum of 2 years of relevant project experience and at least 5 years of Project Coordination or Administrative experience working within engineering and design projects. Equivalent experience may be acceptable.
Desired Project Coordinator Functions:
- Using Microsoft Suite as primary tool.
- Excellent internal and external client relation skills, ensuring that project goals/objectives are achieved and that all business processes and applicable procedures are followed.
- Complete project documents, which include material updating, client required reporting, and log sheets.
- Satisfy customer expectations and project requirements.
- Work with the project team to identify, document, and distribute project tasks.
- Identify, document, assign, and track project actions and issues.
- Keep the project status reporting system current with the actions and changes that take place on assigned projects.
- Assist project managers in controlling project performance as necessary to fulfill requirements and ensure satisfactory project performance.
- Communicate effectively with cross-functional teams within multiple programs on project statuses.
- Additional software training may be needed and provided.
