Job Summary: The Fleet & Safety Coordinator plays a critical role in ensuring compliance with safety regulations and promoting a culture of safety within the organization. Responsibilities include overseeing DOT compliance, managing workers' compensation claims, conducting safety training, and coordinating facility inspections. The Fleet & Safety Coordinator should have a strong knowledge of safety regulations, excellent organizational skills, and a commitment to promoting workplace safety. In addition, the Fleet & Safety Coordinator coordinates mechanics schedules and supports and monitors the activities related to the acquisition of automotive equipment and the operation and maintenance of automotive fleet repair.
Responsibilities:
- Coordinate work schedules for mechanics and monitor weekly hours
- Monitor rental uniform cleaning services
- Evaluate and monitor parts suppliers and repair vendors for service and pricing and issues and/or review all invoices and purchase orders
- Review Drivers' Vehicle Inspection forms and coordinate repair schedule with the lead mechanic
- Coordinate with dispatch vehicles that need to go and be returned from outside repair facilities and any other special requests the mechanics need to cover
- Review warranty issues and obtain services and refunds
- Monitor vehicle PM schedule to ensure that it is current and maintain vehicle maintenance files
- Coordinate the removal of vehicles from service
- Produce fuel and oil consumption reports
- Coordinate the registration and/or renewal of all tags and permits (DC, MD, and VA), SSRS, VA Insurance Authority Application (bingo stamps), and VA Intra-state permit stickers
- Manage data input and tracking of parts and supplies
- Ensure the return of tags to applicable state MVA offices
- Produce the fleet report for DC Adjudication Office
- Administer random drug/alcohol screenings and UVL administration
- Oversee driver log administration, including gathering logs, monitoring accuracy, and conducting compliance training
- Coordinate driver orientation/separation activities and maintain related files
- Handle Non-DOT Driver Qualification and Authorization tasks, including monitoring MVRs and maintaining insurance information
- Serve as the primary contact for Certificates of Insurance (COIs) and monitor on-site vendor COIs
- Coordinate Pre-Pass devices, rider passes, and roadside inspections
- Manage Workers Compensation claims, including receiving First Reports of Injury and updating OSHA logs
- Maintain safety training and qualification files, ensuring compliance with regulatory requirements
- Track and verify safety infractions, recommending training or corrective actions
- Coordinate facility inspections and maintenance tasks, such as fire alarm checks and first aid kits
- Assist with emergency evacuation plans and drills and perform lumper backgrounds for owner/operators
- Provide safety-related information and assist with safety-related billing approval
Qualifications:
- High School degree or equivalent industry related experience
- 2 years of transportation and safety experience or equivalent combination of education and experience
- Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents
- Ability to effectively present information to top management, public groups, and executive board
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- PC literate and proficient in Microsoft Office suite
- Safety coordination experience preferred but not required
- Strong knowledge of safety-related agency requirements (OSHA, FMSCA, DOT) preferred
- Excellent verbal and written communication skills
- Strong customer service skills and experience
- Ability to maintain confidentiality
- Strong attention to detail
- OSHA certified; First Aid and CPR trained preferred but not required
