Position Overview
The Sales Administration Specialist is a main point of contact with Met One customers regarding the execution of generating sales order requirements from a purchase order (PO) or contract. Managing sales orders from start to finish, continuously following up on open-line items. Working seamlessly between Sales, Service, Production, Purchasing, Finance, Accounting, Shipping, etc., in gathering information, providing information, updating and revising orders, and ensuring the business execution follows company processes and procedures accordingly in support of achieving Met One revenue goals. The person in this position has a customer first mentality and advocacy role.
Key Responsibilities
➢ Assists Sales personnel with gathering pricing information for products and freight for quotes as needed.
➢ Manages all contract matters related to sales orders. Matches quotes to customer purchase orders/contracts. Confirms discount approval with proper sign off authority from Sales Management and/or Finance. Clarifies discrepancies between purchase orders and quotes (including products, services, buyouts, obsolete parts, pricing, etc.) during the sales order processing process and confirms delivery commitments with the appropriate Production Manager.
➢ Sends sales order acknowledgements to customers as well as updating the customer with any delivery updates or changes during the lifecycle of the order.
➢ If applicable, reviews customer terms and conditions and communicates with Sales and/or Finance to clarify unusual requests and requirements before entering into the agreement with the customer.
➢ Actively addresses customer inquiries by researching production and shipping status.
➢ Gathers organizational and credit information for new customer accounts and sets up new customer accounts in Met One ERP system.
➢ Closely monitors backlog (open orders) and is in continuous contact with the customer as the order progresses. Assists with following up on missing information necessary to fulfill the orders, such as customer point of contact name and contact information, billing address, ship
to address, shipping method, freight account information, payment terms, prepayments via wire transfers, credit card information, international shipping and customs documentation, etc. Advises Sales of sales order status, and if there are any issues that require resolution, always working toward total customer satisfaction.
➢ Works closely with Production regarding customer order status. Works closely with Finance for prepayments, Letters of Credit, credit cards and orders on hold. Works closely with Shipping and supports special international documentation requirements and freight tracking.
➢ Provides support to customers with administrative requirements related to training and travel if necessary.
➢ Provides support with trade shows as needed.
➢ Provides support with fielding incoming calls as needed.
➢ May include other duties as assigned.
Qualifications
➢ Bachelor of Science in Business Administration or related field preferred, or a combination of related working experience and some college coursework.
➢ 3 years of experience in a progressively responsible related role interfacing with customers.
➢ Knowledge of Met One products and services, and/or a working knowledge of the environmental air quality test and measurement industry preferred.
Additional Requirements
➢ Strong communication and interpersonal skills.
➢ Proficiency in Microsoft Office Suite.
➢ Customer Resource Management software experience, Salesforce or similar programs.
➢ Enterprise Resource Management (ERP) software experience with working knowledge of Material Requirements Planning (MRP) processes related to supply and demand management.
➢ Excellent organizational and time management skills while prioritizing the customer and focusing on results.
