Overview
We are seeking a highly organized and detail-oriented Project Administrator to join our dynamic team. The ideal candidate will play a crucial role in supporting project sales / management activities, ensuring that all administrative tasks are handled efficiently. This position requires strong communication skills and the ability to manage multiple priorities in a fast-paced environment. The Project Administrator will work closely with project managers and Estimating team members to facilitate project success.
Responsibilities
Sales Administration
o Downloads and organization of construction documents for bid opportunities
o Runs weekly/monthly reports
o Completes dead bids process
o Maintains database for Sales/Estimating
o Organizes and set up tradeshow reservations
o Travel arrangements when requested
o Lunch & learn planning
o AIA certificates
o Organization, reordering, and shipping of samples and mockups
o Design Lab room organization and scheduling
o General marketing and social media requests
o Scheduling of sales and estimating meetings
o Assist in tracking and organizing program CID development
Project Administration
o Project Sold Process completed timely and accurately.
o Project Registration forms sent and received back from the customer
o Add all project information into the Financial Tool for sold projects and change orders
o Schedule internal and external scope meetings, and online meetings with customers
o Process paperwork for cancellations
o Ensures all tasks are completed accurately, and within the timeframe of the project schedule and task due dates
- Proven experience in an administrative role, preferably as a Project Administrator or similar position.
- Experience in office management and administrative tasks is essential.
- Strong data entry skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to manage multiple tasks simultaneously while maintaining high levels of accuracy.
- Proficiency in using phone systems and other office technology.
