Job Summary: The Administrative Assistant is to ensure efficient safety and operation of the Metanoia residence facility. Responsible for general office support and resident support as needed. Support the Executive Director and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the human trafficking field's concepts, practices and procedures.
Responsibilities and Duties:
- Track all visitors, volunteers, contractors on Metanoia property and welcome them as appropriate.
- Responsible for responding to telephone calls; responding to emails, directing calls/messages to appropriate employees and monitoring resident phone calls.
- Maintain office files and records, ensuring they are kept organized and confidential.
- Assist with volunteer engagement through appropriate communication (phone calls, emails, etc) and coordinate for volunteer time spent with residents.
- Provide clerical and administrative support for the Executive Director and support staff as needed.
- Processes receipts and bills to include communication with the Accountant as needed.
- Oversee Metanoia vehicle travel log, maintenance and registration/inspection/car insurance expiration dates.
- Oversee maintenance of the residence
- Oversee maintenance of office equipment and provide technical support to staff when needed.
- Assumes primary responsibility for ensuring all employee and volunteer certifications are current and in appropriate file, including coordinating training for staff.
- Assumes primary responsibility for performing criminal background checks and CANS clearances for employees and volunteers.
- Assist with coordinating staff training as directed by the ED and assist ED with special projects.
- Ensure paperwork is complete for new resident intake.
- Assume responsibility for the accuracy and completeness of resident binders.
- Coordinate medical and non-medical appointments for residents.
- Accompany residents to appointments as needed.
- Ensure Metanoia calendar is up to date with detailed information, resolve conflicts, and send reminders to staff as needed.
- Initiate and Coordinate resident activities, to include adequate communication with all staff and/or volunteers.
- Assist residents with allowance maintenance, budgeting, and shopping.
- Interacts with youth individually during daily routines and activities promoting the youth’s cognitive, social/emotional and language development during routine caregiving; participates in off campus outings.
- Encourages safe and socially appropriate behavior of youth using positive techniques of guidance such as redirection, positive reinforcement, and anticipation and elimination of potential problems.
- Ensure compliance with Metanoia policy and procedures, and DCFS licensing regulations.
Level of Education: High School diploma required, Bachelor's degree preferred in a human services field or in administration, business or related field, and at least 2 years of work experience in a human services agency.
Work Experience: Minimum 3-5 year of experience in an administrative role
