What are the responsibilities and job description for the Administrative Assistant position at Methodist Family Health?
Responsibilities:
- Reception:
- Provides full coverage for primary receptionist when receptionist is required to be absent from the front desk or on break and should function smoothly as a team effort.
- Will need to perform all receptionist duties when functioning as primary receptionist including on days receptionist is on PTO or sick.
- Follow all hospital procedures when having visitors sign into the facility.
- Education:
- Sends request for Education records,
- Contacts schools regarding new admissions and discharges for Acute and Sub Acute,
- Uploads discharge records to Electronic Medical Record, and
- Compiles attendance records daily.
- Compile and send list of new admissions to LEA of Pulaski County Special School District on a weekly basis.
- Sends billing for attendance records monthly
- Collects due process and sets up Special Education conference with LEA of Pulaski County Special School District monthly.
- Collect information to accompany Department of Education application and complete annual application for mailing
- Nursing:
- Stocks the nursing units and supply closet and inform DON of any purchasing needs,
- Checks on nursing logs daily,
- Maintaining binder materials on the units,
- Assists in maintaining orderly nursing stations, and
- Keeps admission/discharge packets current and stocked, etc.,
- Responsible for facilitating updates to the patient handbook updates,
- Follows up with all new admissions to ensure that they received a copy of patient handbook,
- Responsible for facilitating updates to the MBH On the Job orientation packet
- Maintains organization of and updates to Safety Data Sheets.
- Organize, file and scan Quality Assurance Reports for Director of Nursing.
- Assist Director of Teaching-Family Model with annual evaluations.
- Performs all other duties as assigned.

Level Two - Selective Access:
Access to certain automated or hard copy PHI on a regular basis for purposes such as directing calls or letters, sorting mail, filing or typing or similar activities related to their jobs. (e.g. Billing office and materials management employees).
Qualifications:
- High school diploma or equivalent.
- Proficient in all Microsoft applications.
- Must be a team player and possess a good attitude when working with others.
- Interact warmly, courteously and professional with visitors and staff.
- Must have the ability to complete duties assigned in an efficient and timely manner.
- Ability as a self-motivator and the aptitude to work in a high stress, fast-paced position with a minimal supervision
- Demonstrate attention to detail.
- Must be able to maintain effective audio, visual discrimination and perception needed for making observations, communicating with others, reading and writing, and operating office equipment and other treatment equipment.
- Must be able to use a telephone to communicate verbally and a computer to communicate through written means, to review information and enter/retrieve data, to see and read characters on a computer screen, chart or other treatment items.
- Must be willing and able to work with all patients of Methodist Family Health, regardless of gender, race, creed, religion, or sexual orientation or gender identification.
- Experience preferred.
