NATURE AND SCOPE:
Under the supervision of the Branch Executive/Associate Branch Executive, the Regional Office Manager (OM) is responsible for supervising office operations for assigned branches. This key position will be the primary interface with the association office’s Human Resource Department.
RESPONSIBILITIES (including, but not limited to):
Branch Support:
- Prepare for and document board meetings and assist with volunteer communications.
- Manage inventory and procurement of office and first aid supplies.
- Maintain cleanliness and organization in shared workspaces.
- Provide support for Traction Rec, Workday, and member inquiries as needed.
- Serve as the branch Y LINK administrator.
- Attend assigned trainings and staff meetings.
- Foster positive relationships with staff, members, and volunteers
IT Support:
- Serve as the initial point of contact for software and technical inquiries.
- Oversee office equipment and supplies maintenance.
- Human Resources Support:
- Maintain, update, and manage employee documents in the HCM systems.
- Disseminate organizational policies and procedures, including HR policies and financial guidelines.
- Facilitate onboarding processes for new employees and conduct monthly orientations.
- Keep accurate records of staff trainings and other requested data.
- Support management with candidate application management in Workday.
Financial Functions Support:
- Manage day-to-day accounting operations including accounts payable, accounts receivable, and budget preparation.
- Ensure accurate record-keeping and cash collection for all partnerships and reimbursements.
- Coordinate month-end closing procedures.
REQUIREMENTS:
- Bachelor’s degree and 2 years of experience in office management, business administration, human resources, accounting, or related OR a high school diploma and 4 years of experience in office management or related
- Ability to handle confidential and sensitive information
- Strong verbal and written communication skills
- Proficient knowledge MS Office Suite (Excel) and database management
- Possess effective time management skills
- High degree of human relation skills: ability to effectively communicate and manage information to peers, staff and volunteers
- Ability to manage systems, multiple projects, and meet deadlines
- Ability to obtain CPR/AED certification within first 30 days of employment
- Must have a strong collaborative work ethic, ability to work on multiple projects under pressure with tight deadlines with minimum supervision
- Ability to build relationships and interact and communicate positively with all levels of management, employees, volunteers, vendors, and members
PREFERRED REQUIREMENTS:
- Bachelor’s degree in human resources, business administration, Accounting, or related
- Y-USA Team Leader certification
- Knowledge of internal systems: Workday, SGA, and Traction Rec
- Non-profit experience
