The Department of Mental Health (DMH) Metro Boston seeks an Office Support Specialist II (OSS II) to provide administrative support to the Fuller Baycove Site Office. The Fuller Baycove Site supports adults who have been determined to be eligible for DMH services.


Duties and Responsibilities (these duties are a general summary and not all inclusive):

  • Supervise Office Support Specialist I
  • Provide coverage as needed basis in Reception area.
  • Operates standard office machines and equipment.
  • Participate in maintaining a safe environment (requesting repairs for unsafe conditions, completing work orders and advising supervisory staff)
  • Assists with training new employees upon hire.
  • Provides administrative assistance to all Case Manager Supervisor (CMS) and Case Manager (CM).
  • Provides administrative support to the ACCS Contract Monitor
  • Maintain organized electronic filing of all guardianship documentation and correspondence
  • Takes and prepares minutes of site office meetings
  • Guardianship liaison
  • Update MHIS

Required Qualifications:

  • Knowledge of the principles and practices of office management.
  • Understanding of the methods used in the preparation of charts, graphs and tables.
  • Ability to understand, explain and apply the laws, rules, regulations, policies, procedures,
  • specifications, standards and guidelines governing assigned unit activities.
  • Capacity to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations.

Preferred Qualifications:

  • Ability to communicate effectively.
  • Capacity to write concisely, express thoughts clearly and develop ideas in a logical sequence.
  • Ability to multi-task and prioritize.
  • Know how to prepare documents and reports accurately.
  • Ability to assist customers of diverse backgrounds.
  • Work independently and in teams.
  • Organizational skills.
  • Based on assignments, the ability to supervise and assign work effectively.

Schedule: Monday through Friday, 9:00am to 5:30pm, with Saturday and Sunday off.

Qualifications


First consideration will be given to those applicants that apply within the first 14 days.


Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

Substitutions:

I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.

II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.


Salary placement is determined by a combination of factors, including the candidate’s years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division’s Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
