Job Responsibilities:
- Respond promptly and professionally to door inquiries, greeting clients as they arrive.
- Manage incoming evaluations by greeting families, directing them to the waiting area, providing welcome packets and questionnaires (when required), and notifying the appropriate therapist.
- Inform the relevant therapist about client cancellations and assist with filling open slots when necessary.
- Assist therapists by helping manage situations with parents who are late for pick-up, including staying with the client and contacting family members.
- Answer phone calls, respond to text messages, and follow up on voicemails within 24 hours.
- Build and maintain positive relationships with clients.
- Process and route incoming and outgoing mail, emails, and faxes for the Speech and Occupational Therapy staff as needed.
- Help coordinate client appointment schedules, availability, and staff meetings.
- Handle new client paperwork and provide assistance to clients when necessary.
- Support therapists with therapy-related tasks, such as preparing materials, cleaning, and assisting with client or parent needs as instructed.
- Maintain and update service authorizations by communicating with case managers or insurance providers.
- Track inventory and fulfill orders or pickups as requested by the Business Manager.
- Perform other administrative duties, such as filing, organizing, updating records, entering data, and conducting research.
- Input data, upload or send documents, and set up patient portals in the Electronic Medical Records (EMR) System.
- Accept payments and enter relevant information into the EMR system.
- Ensure a clean and safe environment by organizing and sanitizing equipment in line with updated COVID-19 safety protocols.
- Take on additional tasks as assigned by the Clinic Administrator, Administrative Office, or SLP/OT staff.
Qualifications:
- Associate’s Degree required
- 1-3 years of relevant experience, i.e.: office management, experience with children, and/or children with disabilities
- Outstanding organizational skills
- Ability to work with children, parents and/or people with disabilities
- Ability to manage time effectively and prioritize tasks appropriately with strong attention to detail
- Excellent communication and interpersonal skills
- Committed to providing exceptional customer service
- Proficient computer skills and able to operate general office equipment (printer, fax etc.) required
- CPR certification required
- Proficiency in Microsoft Office 365 required

Schedule:

- $18-$22/hour commensurate with experience and qualifications
