Administrative Assistant
Duties/Responsibilities:
- Provide administrative support to ensure efficient operation of Metro Fence office.
- Answer phone calls and direct calls or take messages for appropriate personnel.
- Handle all scheduling duties including, but not limited to: scheduling fence estimate appointments via phone/email, setting up customer information in database, checking in with estimators regarding their schedules each day, maintaining all calendars, etc.
- Input basic financial documents including, but not limited to: Receipts, Bills, Purchase Orders, Sales Tax, etc. (Basic Quickbooks knowledge is a plus)
- Support office visitors by assisting with questions or directing them to the appropriate personnel.
- Carry out typical administrative duties such as filing, typing, copying, scanning etc.
- Exhibit polite and professional communication via phone, e-mail, and mail.
- Support office team by performing tasks related to organization and strong communication.
Required Skills/Abilities:
- Proven experience as an administrative assistant or office admin assistant
- Basic understanding of clerical procedures and systems such as recordkeeping and filing
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Word, MS Excel, MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
- Ability to work independently.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Job Type: Full-time
