What are the responsibilities and job description for the Administrative Assistant (5+ Years of Experience in Construction Administration) position at Metrocorp Plumbing, Inc.?
We are a small-to-midsize plumbing company that specializes in multi-family residential and commercial new construction seeking an administrative assistant with experience working in a construction office setting.
The ideal candidate is comfortable in a fast-paced environment with shifting priorities and is able to be cross trained and balance multiple tasks. The role compiles RFI, change order, and submittal management as well as cell phone/tablet management.
Please note that this is a full-time, in-person position.
Construction Process Management
· Create, edit, and upload/email RFI’s, submittals, and change orders
· Easily learn and adapt to our company’s official formats and filing system for RFIs, submittals, and change orders
· Ability to learn and navigate different online portals and systems for different builders to upload RFIs, submittals, and change orders
· Track uploaded RFI’s, submittals, and change orders and follow up on approvals
· Manage and respond to communication from our plumbing supervisors who request an RFI or submittal be uploaded or sent to the builder/GC
· Place and track fixture orders for large, multifamily residential projects
· Place and track fixture orders for clubhouses
· Call for inspections when necessary
Cell Phone/Tablet Management:
· Set up new phones and tablets for new hires
· Manage account upgrades and phone/tablet swaps into newer devices
· Track phone/tablet inventory (screen protectors, styluses, cases, and other accessories)
Preferred Qualities and Skills:
· Prioritizes, balances, and paces tasks without getting easily overwhelmed
· Willing to work through and accept change and challenges
· Willing to help make systems better or revamp systems/brainstorm new ideas to improve processes
· Great communicator – ideal candidate must have excellent verbal and written skills
· Quick learner and active listener
· Comfortable answering the phone and placing calls
· 5 years of experience in construction office
· Must be proficient in: Quickbooks, AdobePDF, Excel, Word, Sharefile, Box, DropBox, and Google Drive
· Plus: familiar with ProCore, Oracle
