Position Summary: The overall operational responsibility for the business functions of the centers assigned to ensure service quality, financial results, optimum utilization of resources, efficient delivery of services and a superior patient experience.
Essential Duties and Responsibilities:
The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive. Other duties may be assigned.
- Work closely and effectively with the Central Billing Office (CBO) and Practice Manager to achieve desired results
- Front Desk (check in/check out)
- Overlook entry of charges, procedure codes, payments, and patient demographic information
- Supervise medical records maintenance
- Oversight of up-front collections and offer suggestions to maximize collections efforts.
- Propose and implement efficient processes to ensure optimum patient experience

Scheduling
- Oversight of scheduling patterns and abandonment rates
- Propose and implement efficient processes to ensure optimum patient experience
- Responsible for building Provider scheduling templates

Referrals and Authorizations
- Oversight of department to ensure that referrals are properly recorded into Leading Reach and processed appropriately and timely
- Assists with the development of budgets and works with the rest of the leadership team to ensure that targets are met
- Ensure compliance with all new hire and onboarding processes.
- Complete annual performance evaluations with input from other areas and providers as needed.
- Assist Practice Manager in coordination of employee retention and engagement programs designed to reduce turnover and build effective and cohesive teams to provide a high quality patient experience.
- Serves as a resource to patients, families, physicians and staff by interpreting policies and procedures
- Provides departmental leadership by demonstrating effective communication skills, problem solving and proactive conflict resolution to internal and external customers in situations.
- Hires, leads, develops and evaluates staff in a manner that promotes engagement, productivity and ensures competencies.
- Mentors staff to develop skills, critical thinking, problem solving skills and promote retention.
- Conduct individual and team goal setting, performance planning and evaluation.
- Evaluate, motivate and discipline assigned employees to ensure proper employee performance
- Supports change and participates in the development, interpretation, implementation and evaluation of process improvement and quality management activities. Works with staff to make necessary changes
- Ensure all time of service payments are collected and monitored at all times
- Maintain strict charging, cash collections and deposit controls for billing
- Work effectively with patients, physicians, billing and all assigned employees to resolve issues in a timely and satisfactory manner
- Approval and verification of all payroll time editing for assigned employees
- Conduct monthly QA for all front desk/scheduling employees to ensure the highest quality measures are being met
- Maintain referral log and ensure timely up occurs
Education and Experience Requirements
- Bachelor’s Degree or experience equivalent
- Minimum 3 years working in a multi-physician practice group
Knowledge, Skills and Abilities Requirements
- Extensive capability with MS Office
- Ability to multi-task and prioritize duties
- Strong leader with good organizational skills, compassion, and flexibility
