What are the responsibilities and job description for the Accounts Payable position at Metropolitan Tulsa Transit Authority?
Job Summary: Perform accounts payable functions and administrative duties while providing accurate and efficient processes and bookkeeping.
Essential Functions:
- Record and Analyze vendor invoices in accounts payable system.
- Match receiving documents to vendor invoices, and check invoices for mathematical accuracy.
- Code invoices with appropriate General Ledger account distribution and vendor codes.
- Check purchase documents for appropriate approvals and obtain approvals where needed.
- Prepare general account checks on accounts payable vendor invoices.
- Review monthly statements for accuracy and request invoices not received.
- Manage H.S.A quarterly employer portion and spreadsheets, as well as bi-weekly employee portions.
- Nationwide payments via website and keep up to date.
- Analyze Expense records on Monthly basis.
- Maintain check files for accounts payable system checks.
- Maintain accounts payable checks control log.
- Complete special projects and other tasks or assignments as directed.
- Provide assistance to independent, federal and other auditors in conducting audits by answering questions or retrieving documentation, etc.
- Order office supplies, pick up office supplies, and keep inventory of supplies.
- Run business errands as needed.
- Maintain sufficient postage on postage machine and update postage meter when there is a postage change. Keep up with postage supplies and maintenance needed to machine.
- Must report to work on a regular and timely basis.
- Perform other incidental duties as may be assigned.
REQUIREMENTS
Knowledge: Graduation from high school or possession of a General Education certificate (GED) supplemented by additional training in accounting, five years’ experience in bookkeeping and related administrative work preferred, or an equivalent combination of training and experience. Understanding of general ledger recording required. Training and experience on computer and accounting systems and data entry is desired; ability to understand brief instructions and take initiative in performance of duties and completion of projects; ability to establish and maintain effective working relationships with vendors, fellow employees, and business associates.
Mental Effort - Requires ability to handle numerous activities at one time. Must be able to work with limited supervision, possess organizational skills.
Physical - May be required to lift or push 15 to 24 lbs. and be able to store office materials overhead. Requires the ability to sit for long periods up to an hour at a time.
Audible/Visual - Requires ability to hear telephone and directions give; visually perform essential functions for satisfactory job performance. Ability to view visual display terminal for extended periods.
Miscellaneous - Must be able to maintain confidential data. Must be safety conscious and avoid accidents if possible.
