What are the responsibilities and job description for the Purchasing Specialist position at Metropolitan Veterinary Hospital?
General Statement of Duties:
Ensures the Purchasing Department maintains a perpetual inventory of all hospital pharmaceuticals, supplies, animal food, and other items to ensure productivity and functionality is not hindered and waste is minimal. Assists with other work duties as required.
Responsibilities and Duties:
- Performs purchasing of pharmaceuticals, hospital supplies, animal food, and other inventory items through variety of software programs/vendors including Vetcove, Oracle
- Collaborates with purchasing manager to maintain adequate levels of pharmaceuticals, hospital supplies, animal food, and other inventory items to ensure hospital productivity and functionality is not hindered and waste is minimal
- Creates/Maintains POs and monitors order status and communicates accordingly
- Reports order inaccuracy, discrepancies or damage to vendor
- Receives all orders into PIMS to ensure accurate inventory levels
- Responsible for coding invoices into Oracle
- Sources and organizes transport of acute hospital needs/Transports as needed
- Collaborates with Warehouse team about incoming/outgoing deliveries/packages
- Assists other departments with quarterly and EOY inventory counts, as needed
- Performs/Assists with warehouse duties, as needed and additional related/unrelated assigned duties as required.
- Assists with maintaining vendor relationships and accounts within inventory software
- Researches new products/equipment/pharmaceuticals upon request
- Assists with lab equipment servicing and troubleshooting
- Assists Safety Officer with maintaining SDS sheets
- Able to commute between locations, as needed
Minimum Qualifications:
Motivated energetic individual able to work independently and efficiently, and collaboratively. Detail-oriented and organized. Good communication skills, both oral and written. Clean driving record. Must be able to lift 35 pounds unassisted. Able to sit, stand and/or walk for extended periods of time. Must be able to handle sensitive and confidential information discreetly. Must be eligible to live and work in the United States
Education:
High school degree or equivalent. Proven ability to read and write English. Perform basic mathematics up to algebra. The ability to follow written and oral instructions. Must have general computer skills and knowledge of Excel, MSWord, and Adobe. Must have the ability to learn our software system (Cornerstone).
Work experience:
Must have a minimum of 2-3 years’ experience working in a purchasing environment. Veterinary and/or medical knowledge/experience preferred.
