Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong leadership skills with a friendly demeanor and have experience in office management, vendor management, and schedule management. This role requires a detail-oriented individual who can effectively supervise staff, manage Accounts Payable and Receivables, manage Human Resources including payroll and maintain efficient office systems.
Responsibilities
- Oversee daily office operations and ensure a productive work environment.
- Oversee job scheduling and coordinate appointments for staff members.
- Handle vendor management, including negotiating contracts and maintaining relationships.
- Utilize QuickBooks for budgeting and financial reporting.
- Supervise front desk activities, ensuring excellent customer service is provided.
- Maintain office supplies inventory and order as necessary.
- Implement office policies and procedures to enhance efficiency.
- Assist in the training and development of administrative staff.
- Manage phone systems to ensure effective communication within the office.
- Manage or oversee Account Reconciliations
- Job Costing skills
- Business license renewals
- Manage business insurances (ex: Workers Comp, General Liability)
Requirements
- Proven experience in office management or related field.
- Proficiency in QuickBooks and budgeting practices.
- Strong skills in schedule management and organizational abilities with extreme flexibility.
- Excellent vendor management skills with a focus on building relationships.
- Ability to supervise staff effectively while fostering a collaborative environment.
- Familiarity with phone systems and office technology.
- Strong communication skills, both verbal and written.
- Needs to be very flexible as to operational changes.
