The Executive Assistant is an integral member of the MHS Association and Consulting team. This position plays a critical role in supporting the Managing Director and the consulting team and has the unique role and opportunity to contribute to the success of consulting services using project management tools, organizational ability, and communication skills. The Executive Assistant acts as a key liaison, ensuring smooth communication and coordination between executives, clients, and project teams. The position requires detail orientation, and resourcefulness, and thrives in a fast-paced, collaborative environment.
QUALIFICATIONS
- Bachelor's Degree with at least three year in an office or administrative support position or high school diploma or equivalent with at least 5 years of experience in an office or administrative support position. Additional education may be substituted for the experience requirement.
- Comfortable with self-direction and the ability to work without supervision. Comfortable with both leadership and team-player roles working in a collaborative environment.
- Demonstrated skills, knowledge, and experience in an administration office setting.
- Proficient computer skills, including Microsoft Office suite (Word, PowerPoint, and Excel); ability to manage high-level spreadsheets, project management software, presentations with PowerPoint, documents, and other database management programs.
- Ability to manage multiple projects at a time. Able to concentrate on multiple problems/tasks at once and prioritize appropriately.
- Strong oral and written communication skills. Demonstrated ability to communicate in person, by telephone, by videoconferencing, and by email.
- Initiates prompt and appropriate responses to problems and issues. Knows when to forward concerns and is comfortable making decisions regarding prioritization of any concerns or issues.
- Ability to maintain confidentiality.
RESPONSIBILITIES
- Provide Administrative Support: Manage schedules, coordinate meetings, prepare reports, and maintain accurate records to support the Managing Director and consulting leadership team. Work independently on delegated tasks.
- Facilitate Project Coordination: Create and edit proposals, presentations, webinars, and other written correspondence. Assist in tracking timelines, deliverables, and project progress, ensuring alignment with organizational goals.
- Enhance Communication: Serve as the primary point of contact for internal and external communications, demonstrating professionalism and confidentiality.
- Event Planning: Coordinate calendars and secure meeting spaces; plan travel arrangements and itineraries for out-of-town conferences and meetings; keep calendars and remind all parties of upcoming events. Organize webinars, retreats, and in-person meetings, including logistics and materials preparation.
- Document Preparation: Assist in drafting and formatting correspondence, presentations, and reports, ensuring consistency and alignment with MHS Consulting’s brand and brand voice. Utilization of Microsoft programs such as Word and Excel, Adobe Acrobat, OneDrive, and other applications for document creation and management will be necessary.
- Client Relationship Management: Build and maintain strong client relationships, acting as a reliable and trustworthy representative of the firm.
- Improve Operational Efficiency: Identify and implement process improvements to streamline administrative functions and enhance productivity.
- Maintain Technology Systems: Utilize project management and collaboration tools to support seamless workflow and communication. Maintain working electronic and hard copy files for MHS Association across the scope of duties.
- Maintain confidentiality in all services performed.
- Perform other administrative duties as required to support the mission and operation of the organization
POSITION TYPE AND EXPECTED HOURS OF WORK:
- This part-time exempt position requires approximately 25 hours per week with flexibility to accommodate project deadlines and client needs.
- It is anticipated that the position requires five (5) hours per day from Monday through Friday, with flexibility depending on organization and client needs. Occasional evening and weekend work will be required as job duties demand.
Job Type: Part-time
Pay: $35,000.00 - $37,000.00 per year
