Job Summary: The Staffing and Volunteer Coordinator is responsible for managing the recruitment, onboarding, and coordination of staff and volunteers at the public charter school. This role ensures that the school is adequately staffed and that volunteers are effectively integrated into the school's programs. The coordinator will work closely with various departments to understand staffing needs and develop strategies to attract and retain qualified staff and volunteers. Mi Escuela Montessori is a program with 65 employees which anticipates 40% growth in staffing over the next 3 years.
Key Responsibilities:
Staffing Coordination:
- Manage the full-cycle recruitment process for staff positions, including job postings, candidate sourcing, screening resumes, conducting interviews, and extending job offers.
- Coordinate and conduct new employee onboarding and orientation programs.
- Ensure all new hire paperwork is completed accurately and efficiently.
- Maintain and organize employee files, including certification and compliance records.
- Manage Personnel Action Forms (PAFs) and oversee clearance and fingerprinting processes.
- Assist in the administration of employee benefits programs and payroll processes.
- Handle ACA reporting with payroll and ensure compliance with required posters and notices.
Volunteer Coordination:
- Develop and implement volunteer management strategies to enhance volunteer engagement and retention.
- Coordinate volunteer opportunities and training programs.
- Manage volunteer records and compliance.
- Serve as the primary point of contact for volunteers, addressing inquiries and concerns.
- Ensure volunteers are properly onboarded and integrated into school programs.
Certification and Compliance:
- Manage certification processes for teachers and staff.
- Ensure compliance with all federal, state, and local employment laws and regulations.
- Maintain up-to-date knowledge of HR best practices and legal requirements.
Substitute Management:
- Coordinate and manage substitute teachers.
- Ensure substitutes are properly onboarded and compliant with school policies.
Unemployment Claims:
- Manage the unemployment site and handle unemployment claims.
- Provide necessary documentation and responses to claims.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 3 years of experience in human resources or volunteer management.
- Strong knowledge of employment laws and regulations.
- Excellent communication and interpersonal skills.
- Ability to handle sensitive information with confidentiality.
- Proficiency in HR software and Microsoft Office Suite.
- Bilingual English and Spanish preferred
