Executive Assistant
Job Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and strategic support to senior leadership. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will serve as a key point of contact, ensuring seamless coordination of schedules, meetings, communications, and operational tasks.
Key Responsibilities:
- Calendar & Schedule Management: Efficiently coordinate and manage executive calendars, scheduling meetings, appointments, and travel arrangements.
- Communication Liaison: Serve as a primary point of contact, managing correspondence, emails, and phone calls with professionalism and discretion.
- Meeting & Event Coordination: Organize and prepare materials for meetings, take minutes, and follow up on action items. Plan and execute company events and engagements.
- Document Preparation & Organization: Draft, proofread, and edit reports, presentations, and internal communications. Maintain confidential records and documents.
- Project Management & Support: Assist in managing and tracking projects, ensuring deadlines and deliverables are met.
- Travel & Expense Management: Arrange travel, accommodations, and prepare detailed itineraries. Process expense reports and maintain financial records.
- Office & Administrative Support: Oversee office operations, supplies, and vendor relationships. Provide assistance with HR, finance, and other administrative functions as needed.
- Confidentiality & Discretion: Handle sensitive information with integrity and maintain a high level of confidentiality.
Qualifications & Skills:
- Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
- Strong organizational and multitasking skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
- Ability to work independently, exercise sound judgment, and maintain discretion.
- Experience in project management and event planning is a plus.
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
