We are seeking a dynamic and experienced Dental Office Manager to join our supportive team of leaders at MI Smiles Dental Group.

As our Dental Office Manager (Behind the scenes), you'll lead our patient communication efforts, working hands-on with your team to manage all incoming communications while providing leadership that directly enhances our practice's success and patient satisfaction.

Responsibilities

As our Dental Office Manager (Behind the scenes) you will:

  • Lead and manage our Engagement Center (Contact Center) team
  • Oversee and coordinatewith our Remote Team of Virtual Assistants
  • Train and coach your teams to ensure they have the necessary skills and knowledge to succeed and grow
  • Implement and maintain our Hygiene Recare System
  • Handle inbound and outbound calls, scheduling appointments, and managing patient expectations alongside your teams
  • Lead resolution of escalated patient concerns with professionalism
  • Implementing and optimizing strategies and systems to improve patient care, scheduling efficiency, and team productivity
  • Collaborate with the marketing team to drive new patient acquisition
  • Monitoring and reporting on key performance indicators (KPI’s)
  • Working with your team to meet their daily and monthly KPI’s
  • Partner with leadership team to develop and implement strategic initiatives that align with business goals and growth objectives

This management role is crucial to delivering the high-quality care our patients have come to expect.

Qualifications:

  • Bachelor’s degree in business, healthcare administration, or a related field preferred (equivalent experience may be considered)
  • 2-3 years of management experience (Preferably in the Dental Industry)
  • Strong self-management skills
  • Excellent Customer Service experience required
  • Ability to effectively coordinate with varying doctor schedules and adhere to scheduling guidelines across multiple offices
  • Exceptional verbal communication skills, with the ability to confidently interact with patients, team members, and doctors in person, over the phone, and through digital platforms.
  • Demonstrated ability to lead, motivate, and develop team members
  • Strong problem-solving and conflict resolution skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Natural leadership skills with high interpersonal skills and emotional intelligence

High computer literacy, including proficiency in managing multiple digital tools such as:

  • Practice management software (e.g., CareStack, Dentrix, Open Dental, or Eaglesoft)
  • VOIP Telephone Systems and Software's
  • Google Business Suite
  • Microsoft Office

A Day in the Life:

As our Dental Office Manager (behind the scenes), your typical day may include leading the team's morning huddle. Throughout the day, you'll work alongside your team answering patient communications, analyze call metrics to improve service quality, and provide targeted coaching. You'll collaborate with doctors on scheduling optimization across locations and enhance our Hygiene Recare System. Success in this role requires skillfully balancing priorities between managing in-house teams, coordinating remote staff, and maintaining efficient patient care systems.
