Overview:
The Operations Support Assistant is responsible for supporting general office functions, data collection and data entry. Performs clerical work in support of department/program. Front line customer service, permit processing, inspection scheduling, maintaining supplies, and clerical. Assists contractors and citizens with technical issues related to building codes permitting and procedures. Assignments vary and require knowledge of specific departmental procedures and practices of varying complexity and interpretation. Works under general supervision.
Duties and Responsibilities:
- General office duties, data entry, file maintenance, customer service
- Enters data into databases and spreadsheets.
- Ensures that forms and handouts are stocked at counter and other locations as directed.
- Process incoming and outgoing mail.
- Answer telephone and route calls to appropriate staff.
- Respond to public records requests.
- Maintains office supply inventory.
- Maintains the department webpages.
- Permit processing.
- Accept applications at front counter, prepares all applications and plans for departmental review.
- Answer questions from public related to permit application procedures, permit processing, inspection procedures and contractor licensing.
- Verifies contractor licenses.
- Distributes permit and zoning applications to appropriate staff for review.
- Sends permit applicants plan review correction notices based upon staff comments.
- Ensures that all approvals have been given prior to issuing permits.
- Creates and maintains files for various types of applications and keeps up with filing.
- Processes fees collected.
- Generates reports and correspondence to notify permit holders of expiration of permits and temporary certificates of occupancies.
- Generates permit queries for type and volume.
Position Requirements:
- High School Diploma or equivalent required; plus 3 years administrative or related experience generally preferred.
- Valid driver’s license required.
Knowledge, Skills, Abilities:
- Computer software programs and applications such as MS Office.
- County and/or city government administration.
- Excellent customer service skills with the ability to interact in a positive and professional manner to develop and maintain strong working relationships with co-workers, management, and general public.
- Excellent written and verbal communication skills with the ability to clearly communicate goals, interests, and positions during discussions.
- Strong attention to detail, organizational skills, and ability to prioritize.
- Ability to read, analyze, and interpret general business documents and/or governmental regulations. Ability to write reports, business correspondence, and procedures.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and/or the general public.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Must be able to analyze many variables and choose the most effective course of action for the organization at any given point in time.
- Ability to operate computer programs/software/platforms, to include those used by the county to perform job duties.
- Ability to use basic office equipment.
- Ability to maintain confidentiality.
Job Type: Full-time
Pay: $17.03 - $18.57 per hour
Expected hours: 40 per week
