Part-time position schedule: Monday thru Thursday, 9:00 a.m. to 3:00 p.m.
The Operations Support Assistant is responsible for data entry and clerical operations for the department, serves as the liaison between the ambulance service and the billing company that works with patient accounts to ensure timely filing of claims and collections service. Maintains records of billing, accounts receivable and insurance remits for monthly reports and the annual records audit. Maintains bookkeeping in compliance with State and Federal ambulance fee and billing regulations and department policy and procedure. Works under varied levels of supervision.
Duties and Responsibilities:
- Data entry and clerical operations for the ambulance service.
- Record remits, manage refunds, and submit outstanding balances to collections at the completion of the billing cycle.
- Review insurance denials and participate in the appeal process.
- Maintain current knowledge of the EMS billing and coding requirements.
- Maintain records of accounts billed, accounts receivable, accounts to collections, and write-offs.
- Respond to customer inquiries and billing questions and concerns with professionalism and empathy.
- Work with department staff in required changes to documentation, the need for accuracy, and information necessary for the completion of patient care reports that contribute to improving revenues and collections.
- Assists with the daily operations of the EMS business office.
- Orders supplies and maintains records of purchases and receipts.
- Completes payment vouchers for purchase and purchasing card receipts for the department.
- Maintains a clean and organized workspace.
- Prepares payment vouchers for payment.
- Processes purchasing card receipts and reconciling accounts.
- Prepares revenue and expense reports for the EMS Chief and County Administrator.
- Prepares monthly audit reports.
- Participates in the annual employee performance review.
- All other duties as assigned.
Position Requirements:
- High School Diploma or equivalent required; plus 1-3 years clerical experience generally preferred.
- Valid driver’s license required.
- Certified Ambulance Coder (CAC) preferred or obtained within one year of employment, certification must be maintained.
Knowledge, Skills, Abilities:
- Computer software programs and applications such as MS Office.
- County and/or city government administration.
- EMS operations, billing, and medical terminology.
- Knowledge of HIPPA regulations and procedures
- Excellent customer service skills with the ability to interact in a positive and professional manner to develop and maintain strong working relationships with co-workers, management, and general public.
- Excellent written and verbal communication skills with the ability to clearly communicate goals, interests, and positions during discussions.
- Strong attention to detail, organizational skills, and ability to prioritize.
- Ability to read, analyze, and interpret general business documents and/or governmental regulations. Ability to write reports, business correspondence, and procedures.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and/or the general public.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Must be able to analyze many variables and choose the most effective course of action for the organization at any given point in time.
- Ability to operate computer programs/software/platforms used by the county to perform job duties.
- Ability to use basic office equipment.
- Ability to maintain confidentiality.
